Cost Control Analyst

This role supports project controls, procurement, and financial administration within complex project environments. The position works closely with project teams, suppliers, approvers, and internal stakeholders to facilitate efficient procurement and cost management processes. The individual will serve as a key resource for PMWeb and Ariba activities while supporting accurate financial reporting, workflow management, and project delivery.

Responsibilities:

• Create and maintain Work Breakdown Structure (WBS) numbers in PMWeb.
• Create and maintain project Cost Codes in PMWeb.
• Create Potential Change Orders (PCOs) within PMWeb.
• Review and approve Potential Change Orders (PCOs) in accordance with project requirements.
• Create and submit Purchase Requisitions (PRs) through Ariba.
• Provide support and guidance to suppliers regarding PMWeb and Ariba processes.
• Generate, review, and analyze invoice and procurement reports.
• Manage and coordinate user access requests for PMWeb.
• Manage and coordinate user access requests for Ariba.
• Monitor PMWeb workflows and proactively coordinate with approvers to ensure timely action.
• Monitor Ariba workflows and follow up with approvers to prevent procurement and project delays.
• Coordinate with suppliers to obtain required Tax Exempt Certifications.
• Troubleshoot and resolve procurement, invoicing, system, and workflow-related issues.
• Serve as a key point of contact for supplier inquiries and process support.
• Support project cost tracking, reporting, and compliance with company procurement policies.
• Identify process improvement opportunities and implement solutions to improve efficiency and accuracy.
• Resolve complex process and system issues while supporting project schedules and business continuity.
• Review and close out Purchase Orders (POs), ensuring contractual obligations have been satisfied, invoices have been processed, and financial records are accurately maintained.
• Any other duties or responsibilities that may be assigned to you in your role.

 

Skills Required:

• Strong knowledge of project controls, procurement, purchasing, and cost management processes.
• Experience using PMWeb for project controls, cost codes, WBS management, and change order processes.
• Experience using Ariba for purchase requisitions, procurement workflows, and supplier coordination.
• Strong understanding of Purchase Orders, Purchase Requisitions, invoicing, and procurement closeout processes.
• Ability to generate, review, and analyze project cost, procurement, and invoice reports.
• Strong organizational skills with the ability to manage multiple workflows and priorities simultaneously.
• Excellent communication and supplier relationship management skills.
• Strong analytical and problem-solving capabilities with the ability to resolve system and process issues.
• High attention to detail and commitment to maintaining accurate financial and project records.
• Ability to proactively coordinate with stakeholders and approvers to prevent workflow and project delays.
• Strong continuous improvement mindset with the ability to identify and implement process efficiencies.

Education / Licenses / Certifications

• Bachelor's degree in Business Administration, Finance, Construction Management, Supply Chain Management, or related field preferred.
• Project management or procurement-related certification preferred.
  Proof of education, licenses, and certifications will be required where applicable.
