Join our team in supporting the financial and administrative success of design, construction, renovation, and operational projects. This role combines financial analysis, project coordination, and cross-functional collaboration to help keep projects organized, on budget, and moving forward. You’ll support multiple projects while working closely with Finance, Facilities, Purchasing, IT, and leadership.

Schedule: Monday through Friday working 8AM to 5PM (flexible start and end times available). This is a hybrid role with on-site requirements.

POSITION SUMMARY

This position provides financial and administrative support for design, construction, and operational projects by providing management with information for use in planning and maintaining reports necessary for proper tracking and reporting of project activity. Duties include, but are not limited to project financial reporting, analyzing and processing contracts and payments, maintaining project documentation, and issue/meeting management. Responsibility typically includes proving project support to multitude of new and/or renovation projects depending on size and complexity.

CORE FUNCTIONS

1. Prepares complete financial and statistical reports by identifying appropriate sources of data and meaningful financial indicators. This includes the coordination of the facility month end close process and the required participation with corporate finance.

2. Creates and generates reports used to analyze data.

3. Maintains accurate statistical, contractual or other financial databases, as assigned. Creates and maintains electronic project files from inception through closeout and archiving. Files include, but are not limited to; business plans, scope documentation, drawings, budgets, licensure applications, certifications, permits, change order requests, change orders, proposals, invoices, purchase requisitions, pay applications, schedules, minutes, and closeout documents.

4. Works with other analysts and designated project teams to manage key financial processes within facility (including capital budgets, forecasts, program reporting and analysis, charge management, cost accounting, decision support and reimbursement analysis. This includes monthly reconciliation of commitments and accounts as well as generation of budget adjustments as necessary.

 5. Acts as a technical resource and liaison to system management, administrators, department heads, and co-workers on financial and contractual related issues.

6. Works on problems requiring data analysis and the evaluation of identifiable factors. Typically receives general instruction on routine work. Exercises judgment within generally defined practices, procedures, and polices in selecting methods and techniques for obtaining solutions.

Position interacts with Finance, Information Technology, Technology Management, Purchasing, and Facility Leadership to ensure timely, accurate and efficient reporting of data and processes. Incumbent must be able to read and understand technical pronouncements, identify compliance issues, and make independent decisions.

7. Reviews, analyzes, and processes all architect, engineering, and contractor payments, contractual commitments, amendments, change orders, purchase requisitions, and invoices ensuring proper authorization, correct and timely handling, and resolution of issues by complying with all practices, procedures, manuals, and standards.

MINIMUM QUALIFICATIONS

Require a bachelor’s degree in Accounting, Finance or Business Administration and 1 year of experience in finance, accounting, or construction management or equivalent education and experience. Must be able to work with minimal supervision and prioritize multiple projects.

 Proven analytical skills are necessary. Must be proficient use of sophisticated software programs and office desktop applications. Excellent human relations, organizational and communication skills are required.
