Description
1) GENERAL DESCRIPTION
The position is responsible for assisting the Integrity Unit in all aspects of integrity management and compliance delivery. The Senior Executive / Executive will work closely with Integrity Managers to implement the Integrity Management Framework and reporting, including operational, subsidiaries, HQ corruption risks, and awareness campaigns. The Senior Executive / Executive will coordinate with various functional areas across the organisation, to ensure all integrity issues are identified, assessed, mitigated/managed, and monitored/reported effectively.
2) JOB DESCRIPTION
Documentation and Record Keeping
Assist in maintaining and updating records of integrity-related activities and training sessions.
Help with the documentation of compliance reports and audit findings.
Organize and file documents related to the Anti-Bribery Management System (ABMS) and other integrity policies.
Data Collection and Analysis
Gather data from various departments to support integrity-related audits and reviews.
Analyze data to identify patterns, risks, and areas for improvement.
Assist in preparing presentations and reports based on data analysis.
Support in Training and Awareness Programs
Assist in the preparation and dissemination of training materials and presentations.
Help coordinate logistics for training sessions, workshops, and seminars.
Participate in the delivery of integrity awareness training and workshops.
Communication and Outreach
Draft and edit communication materials for internal campaigns, including newsletters, emails, and SharePoint postings.
Support the development of content for the Integrity Unit's online platforms, such as SharePoint and Telegram.
Assist in organizing events like Integrity Pledge ceremonies and Integrity Talks.
Compliance Monitoring and Reporting
Help monitor compliance with integrity policies and procedures within the organization.
Assist in conducting internal audits and assessments to identify areas of improvement.
Prepare reports on compliance status and integrity initiatives for review by senior management.
Assist in organizing meetings, preparing agendas and taking minutes.
Communicate updates and reminders regarding integrity policies and procedures.
Administrative Support
Provide general administrative support to the Integrity Unit, including scheduling meetings and managing correspondence.
Assist in maintaining the integrity of internal databases and tracking systems.
Support the preparation of presentations and reports for board meetings and other official gatherings.
Special Projects
Participate in special projects as assigned by the Head of the Integrity Unit,
such as risk assessments and development of new policies.
Collaborate with other departments on cross-functional projects related to integrity and compliance.
Assisst in the implementation of new initiatives aimed at enhancing the organization's integrity framework.
Learning and Development
Take part in training and professional development opportunities to enhance knowledge of integrity and compliance.
Prepare a report or presentation summarizing learnings and contributions during the tenure or when needed.
Contribute ideas and suggestions for improving the Integrity Unit's processes and activities.
Stay update on the new developments in the field of integrity and compliance.
3) JOB REQUIREMENT
Bachelor’s Degree in Science, Risk Management, Governance, Law (LLB), Finance, Business Administration or Diploma in related field.
Professional certifications like a Certified Integrity Officer (CeIO), Certified Risk Professional (CRP), or specialized programs such as the Certificate in Compliance will be an added advantage.
More than five (5) years of working experience in the existing company.
Strong interpersonal skills in risk assessment capabilities.
Strong people skills and proficient communication skills.
Sound understanding of regulatory guidelines and law.
High levels of commitment, well organised and able to work independently.
High levels of integrity and ability to maintain confidentiality.
Good analytical skills to measure quantitative and qualitative findings. Eager to learn if do not possess qualitative analytical skills.
Demonstrate proficient Malay and English language skills.
Display pleasant, polite and patient character.
