REGIONAL SUBCONTRACT PLANNER (VOICE)
Picture a busy day of glazing jobs spread across a region, each with its own subcontractor, timeframe, and customer expectation. Somewhere in the middle of that is a calm, organised voice on the phone, matching the right subcontractor to the right job, keeping everyone informed, and making sure nothing falls through the cracks. If you enjoy juggling a moving schedule and solving problems on the fly, this role puts you right at the centre of it. You will be working on behalf of a long standing Australian client in the glass repair and replacement industry, supporting their Regional Subcontract Planning function. Role Snapshot
The Regional Subcontract Planner is a voice based role responsible for coordinating subcontractor scheduling and dispatch for a designated region, managing relationships with subcontractors, and keeping customers and internal teams informed of job status. The role involves regular phone contact with subcontractors and customers, across a confirmed day shift of 8:00am 5:00pm AEST (Sydney/Melbourne time, adjusting automatically with Australian daylight saving)
Key Responsibilities
Subcontractor Coordination & Scheduling
• Coordinate and dispatch jobs to subcontractors within agreed timeframes, prioritising urgent work as it arises.
• Maintain regular phone contact with subcontractors to confirm availability, job status, and any changes.
• Communicate schedule changes, delays, or conflicts promptly to customers and internal teams.
Customer Service
• Deliver a professional, friendly, and solutions focused experience on every call.
• Maintain two way communication with internal stakeholders so everyone is briefed with current information.
• Ensure jobs are executed in line with customer expectations from booking through to completion.
Compliance & Invoicing Support
• Ensure there are no obstacles to jobs being invoiced on a timely basis.
• Keep customer portals accurately updated, working collaboratively with other functions to secure this outcome.
• Ensure invoices are accurate and in line with contractual and business rules. Continuous Improvement
• Bring a 'thinking outside the square' mindset to solve recurring scheduling problems.
• Suggest and support improvements to existing scheduling and dispatch practices. Qualifications & Experience Essential
• Confident, clear phone communicator with strong stakeholder management across contractors, branches, and customers.
• Experience coordinating resources and managing workloads across multiple regions.
• Strong problem solving, able to resolve coverage, attendance, and job related issues quickly and effectively.
• Excellent attention to detail, ensuring work orders, pricing, and contractor paperwork are accurate.
• Sound decision making on contractor selection, escalation, and job allocation.
• Clear and professional communication skills, both verbal and written.
• Confident using SimPRO, client portals, and other business systems.
• Commercially aware, with an understanding of pricing, margins, client requirements, and contractor costs.
• Strong time management, prioritising urgent jobs while maintaining service levels across all regions.
Desirable
• Understanding of glazing, insurance, building repairs, and subcontractor management
