Job Description

This role focuses on documentation review, legal documentation control, loan disbursement support, system updates, and data integrity management for mortgage/loan facilities.

1. Documentation Review & Legal Compliance

  • Verify that documents are prepared and forwarded by the bank's appointed lawyer in accordance with the Letter of Instruction (LI).
  • Ensure the correct version and type of legal documents are used.
  • Review PLCE, Letter Offer (LO), and supporting documents to ensure all terms, special conditions, facility details, availability period, securities, SPA price, acceptance, insurance clauses (MRTA/MRTT), and other key information are accurate.
  • Validate the accuracy of borrower, property, and security details in all security documents.
  • Ensure MRTA/MRTT information is consistent across PLCE, LO, and LITS records, and facilitate insurance release where required.
  • Review and ensure Letters of Undertaking (LU) to developers/vendors are properly prepared when applicable.
  • Manage Private Caveat entry and withdrawal for charge cases involving external chargees or encumbrances.
  • Coordinate caveat lodgement requirements with lawyers for assignment cases.
  • Review top-up financing cases to ensure appropriate legal documentation is used.
  • Verify execution status of previous charge-related documents and highlight discrepancies to solicitors when necessary.

2. Loan Disbursement & System Processing

  • Compare and reconcile information between LITS and PLCE records.
  • Prepare Disbursement Instruction Forms and perform data integrity checks.
  • Conduct litigation searches where required.
  • Process loan implementation through eLCR.
  • Prepare and submit disbursement listings to AP-OF.
  • Update and maintain DTS records throughout the process.

3. System Maintenance & Tracking

  • Update CDMS and DTS systems accurately and promptly.
  • Raise and maintain parameter maintenance forms for developers, developments, and master chargees in CDMS and DTS.
  • Track and update cases pending valuation reports through monitoring spreadsheets.

4. Administrative & Additional Responsibilities

  • Maintain accurate records and ensure compliance with bank procedures and regulatory requirements.
  • Handle ad hoc assignments as required by management.
  • Participate in on-the-job training and continuously develop operational knowledge and skills.

Key Competencies Required

  • Strong attention to detail and accuracy.
  • Knowledge of mortgage/legal documentation and loan disbursement processes.
  • Ability to perform data verification and compliance checks.
  • Good coordination skills with lawyers, developers, vendors, and internal stakeholders.
  • Proficiency in banking systems such as LITS, DTS, CDMS, and eLCR.
  • Strong organizational and problem-solving abilities.
