The Donor Data Quality & Records Associate supports the integrity, administration, and effective use of organizational data across the Foundation's systems. This role combines database management, reporting, data quality, and operational support to ensure accurate information, efficient processes, and exceptional service for internal teams, donors, and fund holders.

The position is based in Kansas City, MO and reports to the Sr. Manager of Donor & Corporate Services. This hourly, nonexempt employee works in the office Monday – Friday but has the potential to work one day remotely with manager approval after a successful 90-day in-office training period. To ensure we provide quality service to our donors, this position requires full availability during the fourth quarter (peak season) due to critical year-end responsibilities and business deadlines. While we recognize and observe holidays, personal time off is limited to ensure the successful completion of essential year-end tasks.

Requirements

 

Database Management & Data Quality

  • Maintain fund member, fund object, and organizational records across the CRM and supporting systems in accordance with established data governance and quality standards.
  • Process database updates, fund setups, profile maintenance, reconciliations, and cleanup projects.
  • Conduct regular quality assurance reviews to ensure data accuracy and compliance with established standards.
  • Manage high-volume data requests while meeting service expectations and deadlines.
  • Participate in testing system enhancements, updates, and new functionality.

Workflow & Systems Support

  • Monitor and manage incoming requests across business applications.
  • Collaborate with team members to balance workload and achieve service-level goals.
  • Troubleshoot data discrepancies, integration issues, and workflow errors in partnership with leadership and the technology team.
  • Support the ongoing enhancement, testing, documentation, and adoption of CRM and related business systems.

Reporting & Stakeholder Support

  • Create new funds and maintain CRM reports, dashboards, and operational metrics.
  • Utilize technology and business applications to analyze, validate, and process data.
  • Research, validate, and resolve data issues, inquiries, and record discrepancies submitted through CRM cases.
  • Provide timely, professional support to internal partners while maintaining high standards of service, accuracy, and responsiveness.

Experience

  • Education & Experience: Associate degree and 2-4 years of experience in database administration, CRM management, customer data operations, or a related field; an equivalent combination of education and experience will be considered.
  • Technical Aptitude: Experience working with Salesforce or a comparable customizable CRM platform. Comfortable with technology and able to learn and navigate multiple databases quickly; experience in Adobe Acrobat, SharePoint, and workflow automation tools preferred.
  • Operational Agility: Strong attention to detail, analytical thinking, organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Self-motivated, reliable, and able to work both independently and collaboratively as part of a team.
  • Communication & Relationships: Excellent written and verbal communication skills, including the ability to build professional relationships and communicate effectively with a variety of internal and external stakeholders. Ability to maintain confidentiality and adhere to privacy and data governance standards.
  • Testing & Quality Assurance: Experience with user testing, process improvement, or system optimization initiatives preferred.

Physical Requirements

  • Office & Computer Work: Ability to work regularly at a computer terminal in a fast-paced environment with frequent interruptions.
  • Noise & Communication: Able to work in an office with moderate noise levels. Ability to communicate and interpret detailed information effectively.
