Description
The Upper School Registrar serves as a key steward of student academic records and helps ensure that the school’s academic processes are accurate, organized, compliant, and supportive of students and families along with supporting the needs of the office of the Upper School Principals.
The Upper School Registrar is a position requiring a calling to use God-given talents to further the Kingdom of God. The Upper School Registrar is expected to be a minister to the OCS community through actions, speech, attitude, and prayer, as they point students to Christ.
Essential Function:
- Student Records: Maintain accurate and confidential academic records, including enrollment information, grades, completed non-OCS coursework, credits, transcripts, and graduation requirements for all Upper School students.
- Cumulative Files: Responsible for uploading and maintaining all Upper School student cumulative records in SCRIBS platform.
- Graduation & Academic Progress: Monitor credits and graduation requirements, helping identify discrepancies or concerns before they impact a student’s ability to progress or graduate in coordination with the Student Care office.
- Transcripts & Documentation: Prepare and process official transcripts, records requests, enrollment verification, and documentation for colleges, other schools, and families.
- Compliance & Reporting: Ensure records and academic processes comply with school policies, accreditation standards, course codes, state requirements, and applicable privacy regulations.
- Bright Futures: Responsible for entering all data as it pertains to Bright Futures for our students including but not limited to service hours, courses, transcripts, etc.
- Grade Books: Serve as the point of responsibility and reference for Renweb for teachers in terms of grade book settings, reports, etc.
- Collaboration: Work closely with administration, counselors, teachers, admissions, students, and parents to ensure academic information is communicated clearly and accurately.
- Academic Marketing: Work closely with administration to assist the Communications team with all relevant academic marketing data, slides, etc. to enhance the academic mission of OCS.
- Administration: Work closely with the Upper School Principal (s) to maintain a high level of service to students, families, and teachers through scheduling meetings, answering questions, and serving as a liaison between principals, students, parents, and faculty.
- Christian Mission: Approach records, policies, and interactions with integrity, compassion, confidentiality, and a service-oriented mindset, recognizing that even administrative work contributes to the school’s broader mission of caring for and developing students.
Supplemental Functions:
- Upper School Administration: Assist in the planning and execution of all Upper School activities and events at the discretion of the Principal.
- Other duties, as assigned.

Requirements
Preferred Education Requirement: College Degree Preferred
Years of Experience: 2-3 years of administrative experience
