Description

A leading organisation is seeking an experienced Retail Leasing Administrator to provide comprehensive administrative support across the full retail leasing lifecycle. This role is ideal for a highly organised and proactive individual with solid retail property leasing experience, strong stakeholder skills and an excellent eye for detail.

Responsibilities:

  • Monitoring lease expiry schedules and proactively identifying upcoming renewals.
  • Preparing accurate lease calculations, renewal proposals, new deals and documentation for new developments.
  • Reviewing lease agreements for accuracy before distribution to tenants.
  • Preparing supporting documentation for lease renewal and approval processes.
  • Tracking renewals, applications and leasing transactions from initiation through to conclusion.
  • Managing tenant applications, including KYC, FICA and credit-check requirements.
  • Maintaining an accurate and up-to-date lease register and ensuring lease documentation is correctly filed.
  • Following up with tenants regarding applications, supporting documentation, negotiations, deposits and lease agreements.
  • Liaising with Property Managers, Asset Managers, Fund Managers, Legal teams and other stakeholders regarding outstanding approvals.
  • Supporting tenant onboarding, relocations and new development leasing activities.
  • Assisting with commission tracking, leasing progress reports and occupancy targets.
  • Resolving leasing-related queries within agreed timelines and escalating matters where required.

Requirements:

  • Grade 12 (Matric).
  • A minimum of 3 years' experience in a Property Retail Administrator or similar role.
  • Proven experience in retail leasing administration and contracts.
  • A solid background in property leasing.
  • A good understanding of FICA and KYC requirements.
  • Strong proficiency in Microsoft Office, particularly Excel.
  • Experience working with property management systems such as PIMS or MDA.
  • Excellent numerical accuracy and attention to detail.
  • Strong communication, interpersonal and negotiation skills.
  • Excellent organisation, planning and time-management capabilities.
  • The ability to manage multiple deadlines and perform effectively under pressure.
  • A professional, reliable and proactive approach when dealing with tenants and internal stakeholders.
