Description
A leading organisation is seeking an experienced Retail Leasing Administrator to provide comprehensive administrative support across the full retail leasing lifecycle. This role is ideal for a highly organised and proactive individual with solid retail property leasing experience, strong stakeholder skills and an excellent eye for detail.
Responsibilities:
- Monitoring lease expiry schedules and proactively identifying upcoming renewals.
- Preparing accurate lease calculations, renewal proposals, new deals and documentation for new developments.
- Reviewing lease agreements for accuracy before distribution to tenants.
- Preparing supporting documentation for lease renewal and approval processes.
- Tracking renewals, applications and leasing transactions from initiation through to conclusion.
- Managing tenant applications, including KYC, FICA and credit-check requirements.
- Maintaining an accurate and up-to-date lease register and ensuring lease documentation is correctly filed.
- Following up with tenants regarding applications, supporting documentation, negotiations, deposits and lease agreements.
- Liaising with Property Managers, Asset Managers, Fund Managers, Legal teams and other stakeholders regarding outstanding approvals.
- Supporting tenant onboarding, relocations and new development leasing activities.
- Assisting with commission tracking, leasing progress reports and occupancy targets.
- Resolving leasing-related queries within agreed timelines and escalating matters where required.
Requirements:
- Grade 12 (Matric).
- A minimum of 3 years' experience in a Property Retail Administrator or similar role.
- Proven experience in retail leasing administration and contracts.
- A solid background in property leasing.
- A good understanding of FICA and KYC requirements.
- Strong proficiency in Microsoft Office, particularly Excel.
- Experience working with property management systems such as PIMS or MDA.
- Excellent numerical accuracy and attention to detail.
- Strong communication, interpersonal and negotiation skills.
- Excellent organisation, planning and time-management capabilities.
- The ability to manage multiple deadlines and perform effectively under pressure.
- A professional, reliable and proactive approach when dealing with tenants and internal stakeholders.
