POSITION SUMMARY
Assistant Property Managers are key players in building relationships and creating outstanding resident experiences. This role combines leasing, customer service, and property operations to keep communities thriving, occupancy strong, and residents happy. You'll be at the center of it all, helping prospects find their new home, supporting current residents, and partnering with the team to deliver a five-star experience every day.
KEY RESPONSIBILITIES
Leasing, Revenue and Market Performance
- Maintain occupancy goals for the property and establishing goals for the leasing team.
- Develop and implement new lease-up strategies to achieve occupancy goals.
- Assist in maximizing gross potential rent and minimizing vacancy. This includes establishing rent concessions, lease parameters and commission schedules to meet the goals of the property owner.
- Screening and qualification of approvals for applications, generating lease documents and effective resident communications.
- Maintain product knowledge of assigned property(s) and major competitors’ rates through site visits, online and telephone surveys.
- Administer tours and answer questions for prospective residents.
- Remain knowledgeable about all aspects of property management and the leasing process to provide accurate and helpful information.
- Explore cost reduction opportunities as appropriate and implement them as approved. Analysis should include both long and short-term benefits.
Resident Experience and Retention
- Implement a schedule to conduct move-out walks with residents, explaining any potential damage charges and assisting with a smooth move-outs process
- Implement scheduled follow-ups with new residents at 30,60,90 day.
- Implement a plan for follow up with residents on pending renewals to improve renewal closing ratio at 180,90,60, and 30-day Intervals to ensure a 5-star living experience.
- Follow up with residents upon work order completion within 24 hours to ensure a 5-star experience.
- Positive interactions with all customers.
- Attention to resident concerns and overall resident satisfaction with the property
- Assist in preparation and planning of resident events.
- Maintain and manage calendars efficiently to keep track of resident interactions and scheduled meetings.
Property Operations & Compliance
- Assist the Property Manager in directing the efforts of the on-site staff to ensure apartments are move-in ready and are maintained in a satisfactory manner.
- Monitor ongoing issues. Look for trends and patterns with constant issues, discuss with appropriate management to ensure timely repairs and plan of action.
- Utilize KNOCK, Microsoft Office products and RealPage software for documentation and communication.
- Contribute to cleanliness and curb appeal by walking all property exteriors, hallways, vacant units, and tour routes each morning to ensure 5-star curb appeal experience for prospects and residents.
- Comply with any income-restricted or affordable income program that exists or may exist at the property. This will require any applicable regulatory agreements and ongoing compliance with regards to the reporting process.
- Enforce community policies.
Leadership & Culture
- Assist with training new hires as well as coaching and enhancing current team member skills.
- Leading by example and being a role model for the standards and behaviors consistent with the core values and culture of Gillespie Group.
- Clear and constant communication between the leasing office teams and the service team
- Work collaboratively as part of a team to accomplish property revenue goals.
- Abide by all local, state and federal Fair Housing guidelines.
WORK ENVIRONMENT
- Gillespie Group is an in-person workplace.
- We value in-person collaboration and live by the motto “work hard – play hard.”
- All team members are expected to work onsite Monday through Friday during standard business hours, unless otherwise specified by their role or designated shift.
- Physical Requirements: Prolonged periods of sitting and computer use; occasional movement between buildings; ability to lift up to 15 lbs. Occasionally.

Requirements
POSITION REQUIREMENTS
- 1-2 years of property management experience
- High-school diploma, bachelor's degree a plus
- Ability to effectively communicate with staff and supervisor
- Proficient in Microsoft Office Suite
- Experience with Real Page or related programs a plus
- Highly motivated
- Strong work ethic with a willingness to learn
- High energy and positive attitude
- Strong conflict resolution skills

- Understanding of sales and marketing concepts
