The Senior Administrative Assistant provides executive-level administrative and operational support to senior leaders and business teams. Responsibilities include managing complex calendars, coordinating meetings and travel, preparing presentations and correspondence, supporting projects, and partnering with internal and external stakeholders. This role requires strong organizational, communication, problem-solving, and time-management skills, with the ability to manage multiple priorities, maintain confidentiality, and adapt to changing business needs. Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel is required.

Work Location: This position is currently onsite, with the potential to transition to a partial hybrid schedule in the future based on business needs and leadership approval.

Key Responsibilities

Executive & Operational Support

  • Proactively manage complex calendars, meetings, appointments, and shifting priorities for assigned leaders, ensuring alignment with business objectives and strategic initiatives.
  • Anticipate scheduling conflicts, identify solutions, and optimize time management to maximize leader effectiveness and productivity.
  • Serve as a trusted liaison across departments and stakeholders, fostering seamless communication, collaboration, and coordination.
  • Support senior leaders with special projects, business initiatives, and day-to-day operational needs.

Communication & Information Management

  • Draft, edit, and proofread professional correspondence, presentations, reports, and meeting materials with a high level of accuracy and attention to detail.
  • Manage inbound communications, including calls, emails, and messages, exercising discretion in prioritization and response management.
  • Maintain strict confidentiality of sensitive business information while demonstrating sound judgment and professionalism.
  • Prepare executive-ready materials and ensure information is organized, accurate, and readily accessible.

Meeting, Travel & Event Coordination

  • Plan, coordinate, and execute meetings, workshops, leadership events, and team gatherings, both virtual and in person.
  • Prepare agendas, briefing materials, presentations, and meeting documentation to drive productive discussions and outcomes.
  • Capture action items, monitor follow-up activities, and track key deliverables to ensure accountability and completion.
  • Coordinate business travel arrangements, itineraries, and related expense processes.

Process Improvement & Operational Excellence

  • Continuously evaluate administrative processes and identify opportunities to improve efficiency, effectiveness, and service delivery.
  • Develop and maintain standardized templates, trackers, reporting tools, and documentation to support operational consistency.
  • Leverage technology and emerging productivity tools, including AI-enabled solutions, to streamline workflows and enhance team performance.
  • Support operational tracking activities, including budgets, invoices, project plans, and team initiatives.

Office & Team Support

  • Assist with office operations and administrative functions, including vendor coordination, supply management, and facility-related support as needed.
  • Manage document lifecycle processes, including distribution, organization, retention, and archiving.
  • Support onboarding activities and help coordinate team events, meetings, and engagement initiatives.
  • Contribute to a positive, collaborative, and highly organized work environment.

Decision-Making & Leadership Support

  • Exercise independent judgment when prioritizing competing requests, resolving scheduling challenges, and managing multiple stakeholders.
  • Operate effectively in a dynamic environment with evolving priorities, demonstrating flexibility and adaptability.
  • Work with minimal supervision while proactively identifying needs, solving problems, and delivering high-quality results.
  • Utilize organizational knowledge, critical thinking, and sound decision-making to support leaders and business objectives.

Required Qualifications

  • 5+ years of administrative experience, including at least 3-years supporting senior leaders or complex, cross-functional teams
  • Must be able to travel throughout the Dallas-Forth Worth market as needed for business purposes, Mileage reimbursement in accordance with company policy.
  • Proficient in Microsoft Outlook, Word, PowerPoint, and Excel (intermediate level: data organization, tracking, basic formulas)
  • Strong written and verbal communication skills; able to draft professional correspondence and materials independently
  • Demonstrated use of AI tools (e.g., Copilot, Claude, Gemini) for administrative or productivity tasks
  • Curiosity about emerging AI and productivity tools; actively follows developments that could improve individual and team effectiveness
  • Ability to manage multiple competing priorities under tight timelines
  • Strong attention to detail and accuracy
  • Capacity to maintain confidentiality and exercise sound judgment
  • Comfort operating with ambiguity and adapting to changing needs in a fast-moving environment
  • Strong organizational skills and a continuous improvement mindset

Preferred Qualifications

  • Associate's or Bachelor's Degree
  • Advanced proficiency in Microsoft Excel (pivot tables, data analysis, reporting)
  • Experience with:
  • Calendar optimization and executive scheduling at scale
  • Event or meeting planning for distributed or hybrid teams
  • Document management and workflow tools (SharePoint, OneDrive)
  • Corporate travel and expense platforms (e.g., Concur)
  • Strong research, editing, and content preparation skills
  • Familiarity with AI prompt best practices or experience integrating AI into daily work routines
  • Experience supporting geographically distributed or hybrid teams

Additional Information:

This role is considered patient-facing and is part of the company's Tuberculosis (TB) screening program. If selected for this role, you will be required to be screened for TB.

Pay Range

The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.
