Job Overview
This role serves as a critical bridge between Administrative and field operations, ensuring that the company maintains high compliance standards while achieving 100% contract fulfillment through dispatching and administrative support.
Key Responsibilities
1. Candidate Pipeline Management
- Source top candidates for guard roles, and submit names to Project Manager for interviewing purposes.
- Review incoming resumes to verify relevant experience and qualifications before submitting to the Project Manager.
2. Operational Dispatch & Scheduling
- Attendance Monitoring: Actively monitor guard check-ins; initiate immediate outreach to guards who have not clocked in within the required grace period.
- Shift Fulfillment: Assist Project Managers (PMs) in aggressive outreach to fill open posts or "call-outs" to maintain 100% contract fulfillment.
- Communication Hub: Serve as point of contact for guards regarding late arrivals or no shows.
3. Document Collection & Reporting
- Personnel Record Management: Gather, verify, and organize employee documentation (such as certifications and licenses) and upload all files to the designated Google Drive folders daily.
- Daily Documentation Reporting: Audit incoming personnel files for completeness and compile a status report to be delivered to management each morning.
- Administrative File Auditing: Conduct routine checks on digital personnel records to ensure accuracy, and provide management with a daily summary of missing or pending documentation.
Requirements & Qualifications
- Availability: Part-time with some flexibility to handle urgent operational needs outside of scheduled hours as needed. Must be able to work Monday-Thursday 6:30pm-12am/ Friday- Sunday 6:30pm-12am. PT hours. Networking required between the employees covering these shifts.
- Communication: Exceptional verbal and written communication skills (required for both professional administrative interactions and dispatching).
- Technical Proficiency: Comfortable with HRIS software, scheduling apps, and digital communication tools (Google Workspace experience a plus).
- Discretion: Ability to handle sensitive employee and company information with the highest level of confidentiality.
Work Environment
- This is a remote position.
- Must be comfortable utilizing multiple screens and communication platforms simultaneously.
