This position also provides day-to-day oversight and guidance to the Sales & Accounting Operations Coordinator, ensuring accurate distributor reporting, accounts receivable management, and sales analytics. Success requires strong accounting fundamentals, advanced Excel skills, and a proactive approach to process improvement.

Key Responsibilities:

Financial Accounting & Month-End Close

  • Manage monthly and year-end close activities, ensuring accurate and timely financial reporting in accordance with GAAP.
  • Prepare journal entries, account reconciliations, and supporting schedules, including accruals, fixed assets, depreciation, prepaid expenses, and debt obligations.
  • Reconcile revenue, distributor transactions, sales deductions, cash clearing accounts, and other balance sheet accounts to the general ledger.
  • Investigate and resolve accounting discrepancies, maintaining accurate records and supporting documentation.
  • Prepare monthly financial statements and management reporting packages.
  • Coordinate year-end closing activities and support external audits and annual tax preparation.
  • Oversee reconciliation of retail, e-commerce, merchandise, and taproom sales, ensuring accurate revenue recognition and deposit recording.
  • Collaborate with Operations and Production to support inventory accounting, cost reporting, and operational financial analysis.

Financial Planning, Analysis & Forecasting

  • Maintain and enhance cash flow forecasts and financial models supporting revenue, operating expenses, production costs, and working capital.
  • Prepare and distribute monthly budget-to-actual reports, highlighting significant variances, trends, and areas requiring management attention.
  • Partner with department leaders to analyze financial performance, investigate variances, and improve forecasting accuracy.
  • Develop and maintain financial and operational KPIs to support management decision-making.
  • Assist with annual budgeting, periodic forecasts, and ad hoc financial analysis.

Sales Operations & Accounts Receivable Oversight

  • Provide day-to-day oversight, guidance, and work product review for the Sales & Accounting Operations Coordinator.
  • Oversee accounts receivable activities, including invoicing, payment application, collections, credit memos, distributor deductions, and reconciliations.
  • Review distributor sales, depletion reports, AR aging, billbacks, and sales deductions for accuracy and consistency with financial records.
  • Maintain and validate sales forecasting models, distributor performance reporting, and related financial analyses.
  • Partner with Sales leadership to improve reporting, collections, and visibility into distributor performance.
  • Maintain appropriate internal controls and documentation for sales-related transactions.
  • Support price posting, label registration, and related regulatory processes as needed.

Tax, Regulatory Compliance & Audit Support

  • Prepare and file applicable state sales and use tax returns and federal and state excise tax reports.
  • Support TTB reporting, including reconciliation of production, inventory, and taxable sales activity.
  • Prepare annual California Redemption Value (CRV) and business property tax filings, as applicable.
  • Prepare and submit monthly bank covenant compliance packages, including supporting financial schedules.
  • Maintain compliance calendars and documentation to ensure timely regulatory filings.
  • Support external audits, tax preparation, and regulatory inquiries.

Process Improvement & Team Collaboration

  • Identify and implement improvements to accounting, financial reporting, and sales operations processes to increase efficiency, accuracy, and automation.
  • Develop and optimize Excel-based models, reporting templates, and data integrations.
  • Support improvements to accounting systems, internal controls, and reporting workflows.
  • Establish priorities and reporting standards for the Sales & Accounting Operations Coordinator, providing training and professional development support.
  • Collaborate across Finance, Sales, Operations, and Production to improve financial visibility and operational decision-making.
  • Support additional finance and accounting initiatives as assigned by the CFO.
