Job Title:
Foreclosures Secretary
Responsibilities:
- 3 to 5 years of experience as a Litigation Secretary in defended foreclosure matters
- Ability to perform general administrative and secretarial tasks relevant to a defended foreclosure department.
- Experience in drafting, formatting, and processing legal documents under attorney supervision, including summonses, notices, pleadings, affidavits, applications, motions, sheriff’s letters, warrants, and other litigation-related documentation.
- Managing the foreclosure process from inception to finalisation, including issuing and serving legal processes, preparing court bundles, and monitoring timelines.
- Diary management of court dates, deadlines, consultations, and follow-ups to ensure compliance with court rules and client service level agreements.
- Liaising effectively with clients, correspondents, sheriffs, debtors, defendants, advocates, and the courts regarding defended foreclosure matters.
- Following up on outstanding documentation, signed pleadings, returns of service, and court outcomes to ensure matters progress efficiently.
- Preparing and uploading documents to CaseLines and ensuring all electronic court files are accurate and up to date.
- Coordinating with attorneys and counsel regarding trial preparation, hearings, rescissions, summary judgments, and settlement negotiations.
- Maintaining accurate and well-organised physical and electronic case files, correspondence, and reports.
- Capturing time entries, updating internal systems, and attending to reporting requirements for bank clients.
- Proficiency in My Attorneys and CACS (bank-related systems), GhostPractice and CaseLines.
Qualifications:
- Matric / Grade 12
- Relevant legal qualification or courses.
