Essential Duties and Responsibilities: The Catering Coordinator serves as a key liaison between our customers, kitchens, and market teams. This role ensures that every catering order, whether a small drop-off or a full-service event, is handled with care, accuracy, and hospitality from the first inquiry to final delivery. You help turn customer needs into well-executed experiences that reflect Butterfield Market’s standards and values.
- Manage and respond to inquiries related to drop-off catering, full-service event catering, and holiday catering orders.
- Serve as a knowledgeable point of contact across all sectors of the business, providing accurate information and effective resolutions to customer questions.
- Receive, process, and coordinate catering orders from inquiry through fulfillment, ensuring accuracy and timeliness.
- Open, maintain, and manage catering customer accounts, including order details and ongoing relationships.
- Communicate clearly and professionally with customers via phone and email regarding orders, changes, questions, and follow-ups.
- Handle a high volume of incoming calls while maintaining excellent customer service standards.
- Identify, assess, and anticipate customer needs to ensure satisfaction and repeat business.
- Resolve customer concerns by clarifying issues, identifying root causes, determining appropriate solutions, and following up to ensure resolution.
- Collaborate closely with market teams and kitchen staff to relay catering details, special requests, and operational needs.
- Provide informed product recommendations, including portion sizing, guest count estimates, and upselling opportunities when appropriate.
- Maintain a working knowledge of all Butterfield Market products, services, and catering offerings.
- Ensure compliance with all company policies, procedures, and service standards.
- Perform related duties as assigned by the Assistant Catering Manager.
- Perform duties outside the assigned area when requested by Executive Leadership or direct supervisor, as business needs require.
Requirements
Education and/or Work Experience Requirements:
- Minimum 1 year of experience in catering coordination, customer service, call center operations, or a related role preferred.
- Strong customer service skills, including problem-solving and handling customer concerns or complaints.
- Excellent verbal and written communication skills, particularly via phone and email.
- Proficiency in Microsoft Office and Google Workspace applications.
- Ability to learn and adapt to new software systems and internal tools.
- Strong organizational skills with the ability to multitask, prioritize, and manage time effectively.
- Ability to work independently while also functioning as a collaborative team player.
Physical Requirements:
- Occasionally required to work on-site at market and kitchen locations to gain operational knowledge and support catering execution.
- Must be able to lift and carry items weighing up to 25 pounds during market-based tasks.
