Description
The Windfall is partnering with a growing, entrepreneurial Multi Family Office and Investment Management firm, to hire an Executive Business Partner/Executive Assistant in Chicago, IL. The firm supports approximately 15 families and manages roughly $500M in AUM. This is a uniquely dynamic, client facing opportunity for a highly organized, curious, and hungry Executive Business Partner to work directly with the Portfolio Manager and broader six-person team. The successful candidate will be the connective tissue of the office bringing structure, follow through, and judgment to a fast moving environment. You will be serving as a thoughtful first point of contact for incoming client needs; managing priorities across the team, taking on everything from high level projects and CRM/AI automation to the day-to-day details that allow the team to operate at its best. This role is ideal for someone with a team first mentality, excellent client instincts, strong organizational and project management sense, and a genuine interest in growing with an organization at an exciting stage.
RESPONSIBILITIES:

Partner directly with the Portfolio Manager on day-to-day operations, priorities, project management, and strategic follow-through.

Support the Portfolio Manager by managing administrative needs, coordinating projects, tracking deliverables, and ensuring priorities remain on schedule.

Act as the central point of contact for the six person team, coordinating communication, calendars, meetings, action items, and deadlines.

Serve as a first line for incoming client requests; exercise sound judgment in determining what can be handled independently and what needs to be escalated to senior leadership.

Manage and maintain CRM activity, client information, relationship touchpoints, and follow up through systems including HubSpot and AdviseOn.

Leverage Asana and AI automation tools to improve workflows, manage projects, create efficiencies, and keep the team accountable.

Support client-facing initiatives, including meeting preparation, materials, communications, and coordination of client visits.

Assist with marketing and commercial projects, bringing an understanding of the client experience and a willingness to help the firm grow thoughtfully.

Coordinate international and domestic travel and logistics, including frequent travel to client locations as needed, providing detailed itineraries including hotel, lodging, ground, experience, dining reservations.

Take ownership of office operations and the day-to-day details that keep a small, high performing team running smoothly.

Manage ad hoc projects with a proactive, no job is too big or small mindset.
REQUIREMENTS:

Bachelor’s degree required; a marketing, business, finance, or related degree is a plus.

Prior experience as an Executive Assistant, Executive Business Partner, Chief of Staff support professional, or in a similarly high accountability operations role.

Strong client facing presence, communication skills, and professional judgment.

Highly organized, detail oriented, resourceful, and comfortable managing multiple competing priorities.

Commercially minded with a genuine interest in client service, investments, and business growth.

Experience using or the ability to quickly learn CRM, project management, and automation tools; HubSpot, Asana, AdviseOn, and AI automation experience are highly valued.

Comfortable operating in a lean, entrepreneurial environment where priorities evolve and everyone contributes.

Must be willing and excited to travel regularly to meet clients; this is not the right opportunity for someone seeking a role without travel.

This role is working in the office Monday-Fridays from 9:00am-5:00pm with the flexibility to work overtime based on the needs of the business.
