Department Administrative Coordinator (Administrative Services Division)

Incorporated on December 11, 1890, Coronado is a general law city operating under a Council-Manager form of government. The Mayor and four Councilmembers serve staggered four-year terms. The City employs approximately 260 full-time staff members and maintains a seasonal and temporary workforce that fluctuates between 200 and 300 throughout the year.

As a full-service municipality, the City supports nine departments: City Manager, Administrative Services, City Clerk, Community Development, Fire Services and Beach Lifeguards, Golf and Recreation Services, Library Services, Police Services, and Public Services and Engineering.

The Department:

The Department of Administrative Services is responsible for the divisions of Finance, Human Resources, and Information Technology. The employees in the department support and reinforce City-wide operations with the goal of developing its most valuable resources - its people. This goal is jointly accomplished through the preservation of the City's financial resources; the commitment to attract and retain a skilled workforce; and the effective management of the City's information systems.

The Administrative Services Department’s Administrative Coordinator is responsible for providing support to the Director of Administrative Services, Finance division, Human Resources division, and Information Technology division. Key duties include managing Human Resources records and data, processing verifications of employment, assisting with new-hire onboarding, coordinating department payroll, and delivering general administrative support. The position also serves as the primary point of contact for the department by overseeing the front counter and phone operations.

The ideal candidate will be a dynamic, customer service–oriented professional with strong interpersonal and communication skills. Experience in office administration, particularly in Human Resources or Finance, is highly desirable. The successful individual will demonstrate exceptional attention to detail, the ability to manage multiple tasks in a fast-paced environment, and a commitment to providing high-quality customer service. Strong organizational skills, self-motivation, initiative, and the ability to work collaboratively within a team-focused department are essential.

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

Experience:

At least four (4) years of experience performing administrative-level duties OR two (2) years of experience at or equivalent to the level of Office Specialist or Department Administrative Assistant in the City of Coronado, from which the incumbent has acquired the knowledge, skills and abilities listed below.

Education/Training:

Completion of college-level coursework in business office technology, business administration, or a related field.


Examination & Selection Process:

Application Review Phase: A completed City of Coronado employment application, cover letter, and resume must be submitted to the Human Resources Division by August 9, 2026. Applications will be evaluated based on relevant education, training, and experience.

Examination Process: Applicants who are considered most qualified will be invited to participate in an oral interview (100%). Additionally, applicants may be requested to undertake one of the following exercises – written assessment, practical, or presentation – as part of the examination process.

Department Interview: Top candidates from the panel interview will be invited to a final interview with the Director of Administrative Services. Additional panelist may participate in the department interview.

Candidate Selection: The selected candidate will receive a conditional offer of employment, contingent upon successful completion of a Live Scan background check and medical examination.

Additional Information: All candidates who achieve a score of 70% or higher in each phase of the examination process will be placed on an eligibility list for a minimum of six months. The City of Coronado participates in E-Verify, and all new employees are required to provide verification of their legal right to work in the United States. What Coronado has to offer:
  • A rich benefits package contributes to the total compensation value. Benefits include a monthly cafeteria allotment of $2,168 voluntary retirement savings/deferred compensation, tuition reimbursement, group term life, short-term and long-term disability coverage, an employee assistance program, and more. 
  • The Retirement Benefit Formula for Classic CalPERS hired prior to January 1, 2013, is Members is 3% at 60. The current employee contribution rate is 9.5%.
  • The Retirement Benefit Formula for PEPRA CalPERS Members, hired after January 1, 2013, is 2% at 62. The current employee contribution rate is 7.50%.
  • As part of ensuring our employees maintain a work/life balance, employees earn 144 hours of Annual Leave per year for the first 5 years. After 5 years, the accrual rate increases.   
  • The City provides Term Life and Accidental Death & Dismemberment (AD&D) insurance in an amount equal to a one-time annual salary or $50,000, whichever is greater, at no cost to the employee. 
  • The City provides short- and long-term disability insurance equal to 66 2/3% of income. Employees that earn over the maximum benefit of $5,000/month available under the long-term disability plan, have the option to purchase enhanced long-term disability insurance. 
  • The City provides up to $2,000 per fiscal year for reimbursement of directly related costs of tuition, school fees, books, and required materials for approved courses and professional development opportunities. Student Loan Repayment can be used under this benefit. 
  • Longevity Pay; bonus at 10 years and every 5 years after.  
  • Lateral Vacation Service Credit, effective January 1, 2023, employees shall be given credit for prior verifiable public service employment for annual leave accrual rates. 
  • Access to community pool and gym.
