About the team

The Talent Acquisition team is a dynamic, service-driven group responsible for attracting and hiring top talent across Kinaxis. We partner closely with business leaders, candidates, and stakeholders around the world to deliver an exceptional hiring experience while supporting the company's growth. 

 

As a Talent Acquisition Coordinator Intern, you will play a critical role in ensuring interviews and hiring activities run smoothly from start to finish. You will be the primary point of contact for complex scheduling requests, working closely with recruiters, executive assistants, hiring managers, and candidates to create an outstanding experience throughout the recruitment process. 

 

This role is ideal for someone who enjoys organization, problem solving, and customer service, and is interested in building a career in Talent Acquisition, Human Resources, or Recruitment Operations.

Location

If in Ottawa or Toronto, you must be in the office at least three days a week.Other Canadian Locations – REMOTE

Term Duration

This is a full-time, 12-month position, starting January, 2027.

 

Co-op / Intern Eligibility

This position is open to co-ops and interns. To be eligible, you must be currently enrolled in full-time education or be a recent/upcoming graduate within 12 months of the placement end date.

Compensation range

$19.46 - $28.55 hourly rate. The final offer within this range will reflect the candidate’s skills, year of education, and experience.

What You'll Do 

  • Coordinate complex interview schedules using GoodTime and SmartRecruiters, with a primary focus on executive-level interviews and hiring teams that require hands-on scheduling support. 
  • Partner with Executive Assistants, hiring managers, recruiters, and interview teams to identify availability and secure interview times across multiple time zones. 
  • Serve as the primary point of contact for candidates throughout the interview process, ensuring a positive, professional, and responsive experience. 
  • Coordinate panel interviews, executive presentations, assessments, and interviews involving multiple stakeholders and competing schedules. 
  • Manage urgent and last-minute scheduling requests while maintaining a high level of service for candidates and hiring teams. 
  • Proactively identify scheduling conflicts, process gaps, and potential risks before they impact candidates, interviewers, or hiring timelines. 
  • Follow up regularly with recruiters, hiring managers, interviewers, Executive Assistants, and candidates to keep hiring activities moving forward without needing to be prompted. 
  • Act as a trusted partner to the Talent Acquisition team, helping to solve challenges and remove obstacles throughout the recruitment process. 
  • Assist with requisition creation, job posting administration, offer creation, and other recruiting system activities within SmartRecruiters. 
  • Support reporting, data updates, process documentation, and operational projects across the Talent Acquisition function. 
  • Help continuously improve recruitment coordination processes and candidate experience practices. 
  • Provide administrative and coordination support for Talent Acquisition programs and initiatives as needed. 

 

What You Bring 

  • Currently enrolled in, or recently graduated from, a Human Resources, Business Administration, Communications, or related post-secondary program. 
  • Exceptional organizational and time management skills, with the ability to manage multiple competing priorities in a fast-paced environment. 
  • Strong attention to detail and a commitment to delivering a best-in-class experience for candidates, hiring managers, and interview teams. 
  • A proactive mindset and strong sense of ownership. You anticipate issues, identify solutions, and take action before problems arise. 
  • Excellent written and verbal communication skills, with confidence interacting with candidates, senior leaders, Executive Assistants, and cross-functional stakeholders. 
  • Ability to navigate ambiguity and solve complex scheduling challenges involving multiple stakeholders, calendars, and time zones. 
  • Strong customer service orientation and a passion for creating positive experiences. 
  • Comfortable learning and working with new technologies and systems. 
  • Experience with Microsoft Office, including Outlook, Excel, and Teams. 
  • Experience with applicant tracking systems such as SmartRecruiters, GoodTime, iCIMS, or similar platforms is considered an asset. 
  • Ability to handle confidential information with professionalism and discretion. 
  • A collaborative, positive attitude and a willingness to support the broader team wherever needed.
