Summary:
The Retirement Solutions Operations Analyst provides day-to-day operational and analytical support to the retirement operations team. This role serves as a key liaison between branch offices, operations leadership, the M&A team, technology teams, and external partners to ensure retirement plan operations are executed accurately, efficiently, and in compliance with OneDigital Investment Advisors and Broker/Dealer standards.
The Operations Analyst plays a critical role in supporting advisors, maintaining data integrity, improving operational workflows, and enabling consistent, scalable service delivery across the retirement platform. This individual serves as a trusted subject matter resource and a proactive problem-solver — someone who takes ownership of complex workflows and projects, champions data integrity, and drives continuous improvement, including through the thoughtful use of AI and automation.
Essential Duties and Responsibilities (includes but is not limited to):
Operational Support & Advisor Enablement
• Serve as a primary point of contact for field offices and internal stakeholders on retirement operations-related inquiries, ensuring issues are resolved with accuracy, professionalism, and urgency.
• Assist with managing the Retirement Solutions Operations (RPS OPS) shared email inbox, maintaining timely and professional responsiveness to advisors and colleagues across the organization.
• Act as a subject matter resource for RPS OPS processes, applying industry knowledge and sound judgment to resolve operational issues and escalate to leadership when appropriate.
• Support operational lifecycle events including cost center changes, plan terminations, and related administrative actions.
• Maintain strong working relationships with Accounting and Finance partners to support training, issue resolution, and operational alignment.
• Lead and manage operations projects from initiation to completion, keeping all tasks on target, on time, and aligned with team priorities.
• Analyze reports indicating discrepancies in plan counts, advisors, or recordkeepers, and act to resolve identified issues.
• Identify opportunities to improve operational workflows and contribute to the development of scalable processes — including the use of AI — that elevate service delivery across the retirement platform.
• Support supervision and training of interns or Operations Associates on account setup and documentation review processes.
M&A Onboarding & Transition Management
• Work closely with the Retirement Solutions Operations Manager to execute retirement operations responsibilities tied to new business from acquired firms or individual advisors transferring blocks of business.
• Participate in weekly M&A team meetings as needed, representing retirement operations and contributing to transaction readiness and transition planning.
• Serve as a knowledgeable resource on best practices, policies, and procedures throughout the transition process, ensuring a smooth and compliant handoff.
• Review data and coordinate with incoming firms on current platforms and operational requirements.
• Develop productive advisor and firm relationships over a compressed timeframe to facilitate efficient and effective transitions.
• Manage the preparation and processing of all transition paperwork, serving as an operations contact for incoming firms on paperwork-related matters.
• Liaise with Accounting to ensure all Retirement Plans are tracked through to first payment, maintaining accurate records and proactive follow-up throughout.
Qualifications, Skills and Requirements:
• Conformity with all legal and regulatory requirements and guidelines associated with FINRA, SEC, and OneDigital Investment Advisors LLC compliance standards is required.
• Demonstrated understanding of investment accounts, registrations, and compliance within RIA and Broker/Dealer environments.
• Proficiency in Salesforce and the full Microsoft 365 Suite (Outlook, Excel, Word, PowerPoint, Teams) is required.
• Experience with Fi360, Smartsheet, Orion, or other finance- or retirement-related vendor platforms is preferred.
• Comfort working with data — including the ability to identify discrepancies, maintain data integrity, and produce clear operational reporting.
• Comfort using AI to automate manual processes, create effective templates, and improve written communication.
• Strong consultative, critical-thinking, and problem-solving skills with a bias toward action and resolution.
• Exceptional organizational skills with the demonstrated ability to manage multiple priorities, meet deadlines, and hold self and others accountable for deliverables.
• Strong project management capabilities; able to drive complex, multi-stakeholder initiatives from planning through execution.
• Outstanding written and verbal communication skills; able to present clearly and succinctly across diverse audiences and adapt communication style accordingly.
• High degree of composure and adaptability — able to manage increasing workloads in a fast-paced, deadline-driven environment with professionalism and calm.
• Customer-focused mindset with interpersonal agility to work effectively across different personality types and organizational levels.
• Superior follow-through and follow-up discipline; thrives in a high-energy, collaborative team environment.
• Previous experience in a customer or client support role is preferred.
Education, Training and Experience:
• An undergraduate degree in Business, Information Technology, Accounting, Finance, Economics, or a related field is required; equivalent work experience will be considered.
• 4–5 years of business experience required, preferably in management of technology, processes, and people within the investment or financial services industry.
• Required: Proficiency in Salesforce and the Microsoft 365 Suite.
• Preferred: Experience with Fi360, Smartsheet, Orion, or other finance- or retirement-related vendor platforms.
The typical base pay range for this role nationwide is $60,000 to $70,000 per year.
Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
