The Opportunity:
Our client is seeking a highly organized and detail oriented Sales Administration Coordinator to play a pivotal role in supporting the dealership's sales operations from deal completion through funding and delivery. This position serves as the administrative backbone of the sales process, ensuring transactions are processed accurately, inventory records remain current, title and registration requirements are fulfilled, and manufacturer and finance documentation is completed in a timely manner. Working closely with Sales, Finance, Accounting, and dealership leadership, the Sales Administration Coordinator helps maintain operational efficiency while contributing to an exceptional customer experience. Duties and Responsibilities:
- Post, audit, and finalize all retail transactions, ensuring deal jackets are complete, accurate, and processed in a timely manner.
- Review sales documentation for accuracy, reconcile payments and supporting paperwork, and coordinate with Sales and Finance to resolve discrepancies prior to funding.
- Submit completed finance contracts and required documentation to lenders to facilitate prompt funding while tracking outstanding items until completion.
- Coordinate all DMV, title, registration, lien payoff, and trade title documentation, working directly with customers, financial institutions, and government agencies as needed to ensure timely completion.
- Maintain organized, accurate, and confidential deal files while tracking transaction status from sale through funding, titling, and final completion.
- Process manufacturer rebates, extended warranty registrations, service contract submissions, backend product documentation, sales incentives, and related reimbursements.
- Coordinate warranty and product cancellation requests while ensuring all applicable documentation is submitted accurately and within required timelines.
- Monitor sold inventory and coordinate floorplan payoffs upon funding while communicating with Accounting regarding applicable financial transactions.
- Receive and process incoming inventory within the dealership management system, verifying unit specifications, options, pricing, freight, costs, and related data for accuracy.
- Generate inventory stock tags, window stickers, and supporting documentation while maintaining current and accurate inventory records.
- Maintain manufacturer specifications, model information, pricing, options, and inventory data within the dealership management system.
- Maintain inventory control records and required dealership documentation for all incoming and outgoing units.
- Collaborate closely with Sales, Finance, Accounting, and dealership leadership to support efficient daily operations and deliver an exceptional customer experience.
- Provide administrative support and guidance to multiple dealership locations as needed, promoting consistent processes, communication, and best practices across the organization.
- Protect confidential customer and dealership information while ensuring compliance with dealership policies, lender requirements, manufacturer standards, and applicable regulatory requirements.
Qualifications:
- Minimum of 2 years of experience in a dealership administrative role involving deal processing, sales administration, business office operations, title work, funding, or inventory administration.
- Experience within the RV industry is preferred; candidates from automotive, marine, powersports, heavy equipment, agricultural equipment, or outdoor power equipment dealerships are strongly encouraged to apply.
- Demonstrated experience processing retail transactions, maintaining accurate deal documentation, and coordinating funding, title, registration, and lien payoff activities.
- Experience working with dealership management systems (DMS); familiarity with IDS, Lightspeed, CDK, Reynolds & Reynolds, Dealertrack, Motility, Procede, or similar platforms is highly desirable.
- Working knowledge of DMV procedures, title processing, manufacturer documentation, warranty administration, and finance contract processing preferred.
- Strong organizational skills with the ability to manage multiple priorities while maintaining exceptional attention to detail and accuracy.
- Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
- Excellent written and verbal communication skills with the ability to work effectively across multiple departments and dealership locations.
- Demonstrated ability to handle confidential customer and financial information with professionalism, discretion, and integrity.
- Self-motivated, dependable, and capable of working independently while contributing positively to a collaborative team environment.
