The Product Program Specialist supports the planning, coordination, and execution of GSCO’s Cookie and Fall Product Programs by equipping volunteers with the training, tools, resources, and operational guidance needed to manage product sales in their communities. As a council subject matter expert, this position coordinates program logistics, inventory and rewards processes, vendor and distribution support, volunteer communications, data management, and process improvement to increase girl participation, strengthen volunteer satisfaction, and support overall program success. Frequent travel and field work are required.

ESSENTIAL DUTIES & RESPONSIBILITIES ***(Employees are held accountable for all duties of this job)
- Implements operational support plans aligned with council Product Program goals, focusing on the successful coordination, execution, and continuous improvement of the Cookie and Fall Product Programs.
- Recruits, trains, coaches, and supports Product Program volunteers, including key volunteers, ensuring they have the tools, resources, and knowledge needed to successfully manage local product program operations.
- Coordinates onboarding for new Product Program volunteers by delivering role-specific training, explaining council procedures and timelines, and connecting volunteers to the tools and contacts needed for successful program implementation.
- Partners with Service Unit volunteers to coordinate inventory management, rewards distribution, booth sale operations, and other program logistics while ensuring consistent implementation of council procedures and timelines.
- Coordinates and monitors product program operations, including product distribution, rewards fulfillment, inventory movement, financial processes, and issue resolution to ensure efficient and accurate program execution.
- Identifies operational challenges and provides timely problem-solving and resolution in collaboration with internal departments, Product Program volunteers, and external vendors to ensure a positive volunteer and customer experience.
- Promotes participation and growth in council Product Programs by building strong volunteer partnerships, identifying opportunities to increase girl participation, and supporting service units in achieving program goals.
- Maintains accurate program records, analyzes participation and operational data, and recommends process improvements to enhance program efficiency, volunteer satisfaction, and overall program success.
- Provides professional, responsive, and solution-focused customer service to volunteers, caregivers, members, staff, vendors, and community partners while serving as the council's subject matter expert for Product Programs.
- Actively participates in creating an environment that fosters diversity, equity, inclusion, and access through words, actions, and attitudes.
- Maintains the confidentiality of all information pertaining to Girl Scouts, volunteers, members, customers, and staff.
- Performs other duties as assigned.
PRIMARY CROSS-FUNCTIONAL RESPONSIBILITIES
- Partner with the Mission Delivery teams to promote Product Programs and integrate product program participation with council and partner-led program opportunities.
- Collaborate with the Customer Care to ensure timely resolution of Product Program inquiries, accurate member and volunteer data, and efficient operational support.
- Serve as the primary liaison for Product Programs by partnering with cross-functional teams to deliver a seamless, positive volunteer and member experience throughout all phases of the Product Programs.
- Support the efforts and commitments of Girl Scouts of Colorado in fostering pluralism and diversity throughout the organization and within each community served.
- Embrace diversity and inclusiveness by building positive relationships among employees, volunteers, and the diverse communities served by the council.
JOB QUALIFICATIONS
Education and/or Formal Training
- Bachelor's degree in business, nonprofit management, marketing, project management, or a related field preferred; or an equivalent combination of education, training, and related experience.
- Two years of experience in program coordination, operations, logistics, marketing, sales, or a related field desirable.
- Two years of experience working with volunteers in a nonprofit organization desirable.
- Experience coordinating projects, events, or product distribution preferred.
- Ability to manage priorities effectively while remaining flexible.
- Ability to communicate effectively with employees, volunteers, customers, vendors, and community partners.
- Ability to manage multiple priorities, projects, and deadlines simultaneously.
- Demonstrated written and verbal communication skills with peers and volunteers.
- Ability to analyze information, manage details, and make sound decisions.
- Strong organizational and project coordination skills with exceptional attention to detail.
- Ability to work collaboratively across teams to support successful program implementation.
- Familiarity with social media and digital communication platforms.
- Proficiency with Microsoft Office Suite required; experience with Salesforce or a similar database and Microsoft Teams preferred.
- Must be able to pass a criminal background check acceptable to GSCO standards.
- Access to reliable transportation with insurance at required state levels to conduct business statewide.
- Valid driver's license and driving record acceptable to the Girl Scout insurance company standards.
- Position requires some evenings, weekends, overnight stays, and travel.
- Computer and related software, telephone, e-mail, fax machines, copiers and equipment commonly found in an office environment.
WORKING ENVIRONMENT & PHYSICAL ACTIVITIES
- Prolonged periods of sitting at a desk and working on a computer.
- Variable working schedule including evenings, weekends and some overnight stays.
- Regular travel throughout GSCO’s council jurisdiction may be required.
- Ability to communicate effectively with employees, volunteers, customers and vendors.
- Access to transportation with insurance at required state levels to conduct business statewide.
- Valid driver's license and driving record acceptable to the Girl Scout insurance company.
- May be required to transport Girl Scout materials weighing up to 50 pounds from a vehicle to a building as well as preparing facilities for meetings, with or without assistance.
