Role Overview
The Field Operations Coordinator supports the operational execution of projects across the Florida region, ensuring consistency, accuracy, and efficiency across field and system processes.
Partnering closely with the Director of Field Operations, Director of Project Management, and project teams, this role is responsible for maintaining project data integrity, supporting field operations, and ensuring adherence to JRM’s operational standards from project setup through closeout.
Key Responsibilities
Field Operations Leadership Support
- Provide direct administrative and operational support to the Director of Field Operations
- Partner with field leadership to ensure alignment with operational standards and project execution priorities
- Organize and document project kickoff meetings for upcoming projects
Project Setup & Systems Management
- Review and approve new project entries within JRM systems to ensure complete and accurate setup
- Own project setup and data integrity within systems throughout the project lifecycle
- Enter and maintain project team changes within Project Creator, as directed
- Set up Day 2 and Maintenance job numbers as required
Procore Administration
- Serve as the Florida Procore Administrator
- Set up new projects upon issuance of job numbers
- Upload initial drawings and establish project teams
- Maintain and update directory contacts, including subcontractors, vendors, clients, and design teams
- Assign and manage appropriate permissions across all project stakeholders
- Upload and manage project documentation as requested
- Provide training and support to Project Managers and APMs on Procore
- Distribute documentation retention forms for closed projects
Field Compliance & Reporting
- Review weekly superintendent compliance with JRM operational standards, including:
- Daily logs
- Subcontractor meeting minutes
- Open and hot items lists
- Look-ahead schedules
- Dumpster tickets
- OSR logs
- Report deficiencies and trends to the Director of Field Operations and Director of Project Management
Jobsite Operations & Procurement
- Manage Florida jobsite material orders, including:
- Receiving and confirming approvals
- Placing orders with approved vendors (Colony, Amazon, United Rentals, etc.)
- Verifying invoices against orders and coding for processing
- Maintain jobsite inventory logs in coordination with Superintendents
- Coordinate printing requests for project teams
- Manage mini container scheduling and ticket tracking
Labor & Payroll Coordination
- Review and process JRM South in-house laborer timesheets
- Coordinate scheduling of Pacesetter labor
- Verify payroll hours are submitted for closed projects and restrict billing to closed job numbers unless approved
Project Closeout & Coordination
- Support project teams in driving project completion and issuance of punch list completion letters to clients
- Monitor project closeout status and ensure required documentation is completed
- Serve as backup for project controls functions, including material orders, during absences
