Responsibilities & Requirements
The Medical Scheduler I supports patient care and access by coordinating appointments, verifying insurance, and maintaining accurate records to ensure efficient scheduling and a positive patient experience. This role communicates with patients, providers, and staff to facilitate timely and accurate scheduling in compliance with regulatory standards. Performs other duties as assigned. All job responsibilities are to be carried out in alignment with Kettering Health's mission, vision, values, and B Safe program.
Required Education
- High school diploma or equivalent.
Required Work Experience
- At least 1 year of experience in customer service or a healthcare environment.
Skills
- Proficiency with scheduling software and electronic health record (EHR) systems
- Strong verbal and written communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Attention to detail and accuracy Customer service orientation
- Ability to maintain confidentiality and comply with HIPAA regulations
- Basic knowledge of insurance verification and authorization processes.
Essential Functions
- Schedule patient appointments for consultations, procedures, and follow-ups according to provider availability and patient needs.
- Communicate appointment details, preparation instructions, and answer patient inquiries regarding scheduling and services.
- Collect and verify patient demographic, insurance, and contact information, ensuring accuracy in the electronic health record (EHR) system.
- Confirm appointments with patients and providers, and reschedule or cancel appointments as requested.
- Verify insurance coverage, obtain pre-authorizations, and communicate financial responsibilities to patients as needed.
- Coordinate with clinical departments and providers to optimize scheduling and patient flow.
- Maintain confidentiality of patient information in compliance with HIPAA and organizational policies.
- Document all scheduling activities and patient interactions accurately and promptly in the EHR.
- Identify and escalate scheduling conflicts, urgent requests, or complex cases to appropriate staff or leadership.
- Support front desk and registration functions as needed to ensure smooth patient access and service delivery.
- Participate in ongoing training, quality improvement, and compliance activities related to scheduling and patient access.
Competencies
- Review an account for quality and confirmation and can demonstrate the ability to update all aspects of a patient account
- Assist patients with the completion of Financial Assistance Forms, HCAP Application and Medicaid Applications (if applicable)
- Demonstrate knowledge of all compliance or legally required registration forms, consents, literature and documents
- Employee demonstrates consistent hand hygiene practices
Preferred Qualifications
- Associate degree or higher in healthcare administration, business administration, or a related field.
- Experience in medical scheduling, familiarity with electronic health record (EHR) systems, and knowledge of medical terminology.
- Certified Healthcare Access Associate (CHAA) credential.
