Job Summary
The Inventory and Asset Specialist is responsible for managing and maintaining all physical assets owned by the agency. This includes, but is not limited to, radios, protective gear, vehicles, office supplies, technology, essential assets at Duvall Residential Center (DRC), and related equipment essential to agency operations. The incumbent is responsible for creating, maintaining, and updating a comprehensive inventory system housed on the agency SharePoint site. This position ensures that all agency assets are accurately tracked, assigned, safeguarded, and replaced as needed. The Specialist works closely with the Grants Specialist, Program Manager, Accounting and Finance Specialist, the Supervisor of Accounting, Finance, & Administration, the Manager of Administration, and Finance, and the Chief Financial Officer or designee to communicate inventory needs, identify concerns, and support informed purchasing decisions. The incumbent operates within established policies, procedures, and statutory guidelines, exercising sound judgment when evaluating operational requirements and asset-related risks. Errors in judgment could cause irreparable consequences and lost work hours to the agency. The incumbent has the freedom to use judgment while assisting in asset allocation and maintenance. Incumbent will provide input to the Supervisor of Administration and Finance or designee in agency-wide decision making and will provide coverage or assistance in the absence of members of their team.

Preferred Job Requirements and Qualifications
Bachelor’s degree in Business Management, Public Administration, Supply Chain/Logistics, or related field. Ability to communicate effectively both orally and in writing. Ability to interpret and explain court decisions to clients, others, municipal boards, committees, and managers. Advanced proficiency in Microsoft Office and other data reporting tools. Experience in project management or process improvement. Experience in developing or administering Share-Point or Microsoft based tracking systems.

- Develop, maintain, and oversee the agency’s asset inventory within SharePoint.
- Track the assignment, return, condition, and lifecycle of assets including radios, vehicles, protective equipment, and technology.
- Conduct scheduled and unscheduled audits to ensure accuracy and compliance with agency standards.
- Communicate inventory shortages, damage, or replacement needs to the Accounting & Finance Specialist, Supervisor of Accounting, Finance, & Administration, Manager of Administration and Finance, and/or Chief Financial Officer or designee.
- Coordinate the distribution and collection of equipment for new hires, separations, and internal transfers.
- Monitor asset use to ensure safety, accountability, and adherence to agency policy.
- Collaborate with administrative and operational staff to determine asset needs for program delivery and agency functions.
- Prepare and maintain documentation, statistical reports, and summaries related to inventory.
- Support procurement processes by providing data driven recommendations for asset purchases.
- Maintain confidentiality and integrity in handling sensitive information.
- Perform ongoing quality assurance related to asset tracking and documentation.
- Assist with policy improvements, workflows, and procedures related to asset control.
- Provide user support and training on asset check out procedures and SharePoint inventory tools.
- Maintain effective communication and working relationships with supervisors, managers, vendors, and partner agencies.
- Ensure compliance with legal, safety, and organizational standards.
