Executive Assistant & Ops Lead
Job Summary
The Executive Assistant & Operations Lead provides executive support to members of the Digital Go-To-Market Leadership Team, while coordinating planning, operations, communications and budget activities that enable the leadership team to operate effectively and efficiently.
The successful candidate is highly organized, proactive and solutions-oriented, with the ability to anticipate needs, manage multiple priorities and build strong relationships across a global organization.
Executive Support
- Provide executive support for members of the Consumer Services Marketing Leadership Team.
- Manage complex executive calendars, balancing competing priorities and proactively resolving scheduling conflicts.
- Coordinate complex meeting schedules across multiple leaders, stakeholders and Executive Assistants, including recurring one-to-ones, skip-levels and other leadership meetings.
- Coordinate domestic and international travel arrangements, itineraries and expense reporting.
- Arrange meeting logistics including conference rooms, virtual meeting coordination and attendee communications.
- Track executive action items and proactively follow up to ensure completion.
- Serve as a key point of contact across the Consumer Services Marketing community.
- Provide executive administrative support, including team recognition, work anniversaries, life events, confidential matters and ad hoc leadership requests.
Planning & Operations
- Manage the annual operating calendar for leadership meetings, business reviews, planning sessions, offsites and key milestones.
- Coordinate preparation for leadership meetings and business reviews, including agenda development, content collection and executive-ready presentations.
- Maintain trackers for leadership priorities, strategic initiatives, actions and key deliverables.
- Coordinate timelines, key milestones and follow-up actions to help leadership priorities remain on track.
- Support continuous improvement of team processes, organization and operational efficiency.
- Develop briefing materials and supporting documentation aligned with HP Visual Identity standards.
Communications & Team Engagement
- Manage the team's internal communications calendar, ensuring timely and engaging communications throughout the year.
- Develop and manage an annual communications plan for holidays, cultural celebrations, awareness days, company milestones and team events.
- Lead internal team newsletters and recurring team communications.
- Coordinate team engagement initiatives including virtual icebreakers, team-building activities and culture-building events.
- Support onboarding, training and development initiatives that contribute to a positive and inclusive team culture.
Budget
- Support overall team budget management activities, partnering closely with Finance and leadership.
- Coordinate purchase orders (POs), Statements of Work (SOWs), vendor onboarding and invoice management.
- Maintain the team's budget tracking processes, ensuring finance trackers remain accurate, complete and up to date.
- Partner with budget owners to ensure POs, SOWs, invoices, forecasts and finance trackers remain accurate and up to date.
- Coordinate cross-charge processes and other operational finance activities as required.
Qualifications & Experience
- Bachelor's degree preferred in Business Administration, Marketing, Communications or a related field (or equivalent experience).
- Typically 6–8 years supporting senior executives or leadership teams within a global organization.
- Experience in business planning, operations or program coordination preferred.
- Exceptional organizational and project management skills.
- Strong written and verbal communication skills.
- Ability to exercise sound judgment, maintain confidentiality and manage multiple priorities.
- Advanced Microsoft Office and presentation development skills.
