Facilities & Maintenance Coordinator

About the Role

Minnesota Cannabis Services partners with leading cannabis operators across cultivation, manufacturing, distribution, and retail to deliver expertise in legal, finance, analytics, marketing, HR, and technology.

The Facilities & Maintenance Coordinator owns the maintenance ticket queue for every site we support: retail stores, cultivation facilities, and manufacturing facilities. When something breaks, you hear about it first, decide what happens next, and stay on it until it is actually fixed. You'll handle straightforward repairs yourself, dispatch licensed trades for the rest, run the vendor program, and work with the construction team so every new store opens with its equipment documented and its maintenance scheduled.

Not every ticket is equal. A broken display fixture in a store is an inconvenience. A failed dehumidifier in a flower room can cost a harvest. This role is about knowing the difference and moving accordingly. You will report to the Director of Construction and Facilities.

What You'll Do

Own the Ticket Queue

• Serve as the single intake point for every facilities and maintenance request across all supported sites
• Triage each ticket: confirm the real problem, identify the affected system, and prioritize by risk to product, crop, safety, compliance, and revenue
• Keep the ticket system accurate and current, and keep requesters informed
• Spot aging and stalled tickets, escalate blockers, and consolidate repeat issues into a single root-cause item
• Verify work is complete before closing any ticket, using photos and sign-off, and reopen work that isn't right

Fix What You Can, Dispatch the Rest

• Handle routine in-house repairs: lighting and fixtures, filter changes, door and lock hardware, shelving and fixture assembly, drywall patching, touch-up paint, minor plumbing and carpentry
• Scope work accurately before dispatch so vendors arrive with the right information, parts, and access
• Schedule around store hours, production runs, and harvest schedules to minimize disruption
• Coordinate vendor site access, escort, and logging at licensed facilities
• Escalate electrical, plumbing, refrigerant, structural, and fire suppression work to licensed trades
• Walk sites regularly to catch deferred maintenance and safety issues early

Run the Vendor Program

• Own the approved vendor list across all trades, including after-hours and emergency coverage
• Source and qualify contractors, compare bids, and negotiate rates, service agreements, and response times
• Keep certificates of insurance, trade licenses, and required credentials current
• Track vendor performance on responsiveness, quality, pricing, and callbacks, and replace vendors who don't hold up
• Reconcile invoices against approved scope and ensure warranty work is billed to warranty

Prevent the Next Failure

• Build and run the preventive maintenance schedule across HVAC, dehumidification, filtration, water systems, electrical, roofing, refrigeration, and fire and life safety
• Maintain the asset register: make, model, serial, install date, warranty status, and service history
• Keep filters, belts, lamps, and consumables stocked ahead of scheduled service
• Flag chronic-failure equipment and make the repair-versus-replace case with cost history

Support Cultivation & Manufacturing

• Respond to environmental system failures (HVAC, dehumidification, CO2, irrigation, lighting, power) with urgency matched to the risk to plants and in-process product
• Coordinate emergency response and temporary mitigation when crop or product is at risk, including after hours
• Protect sanitation-critical and controlled environments so maintenance never compromises product safety
• Schedule disruptive work around harvest and production wherever possible

Work With Construction

• Support new store builds, remodels, and expansions alongside the construction team
• Provide maintainability input during design review: equipment access, service clearances, finish durability, and parts availability
• Manage punch lists through closeout and verify corrections before sign-off
• Collect closeout documentation and add new equipment to the asset register and PM schedule before opening

What You Bring

Required:

• 3+ years in facilities maintenance, building operations, property management, or a skilled trade, including responsibility for a work order or ticket queue
• Working knowledge of commercial building systems (HVAC, electrical, plumbing, refrigeration, fire and life safety) sufficient to triage accurately and evaluate vendor work
• Hands-on repair ability, plus the judgment to know when a licensed trade is required
• Experience sourcing, scheduling, and managing outside contractors
• Comfort with a ticketing or maintenance management system and spreadsheets, with a track record of accurate documentation
• Ability to manage competing requests across multiple sites and communicate timing honestly
• Valid Minnesota driver's license, clean driving record, and reliable transportation
• Must be at least 21 years of age
• Must report to work sober at all times

Preferred:

• Experience supporting multi-site retail, warehouse, or production operations
• Experience in cannabis, food and beverage manufacturing, pharmacy, or another regulated and inspected environment
• Familiarity with cultivation or manufacturing environmental systems: dehumidification, filtration, irrigation, process cooling
• Experience negotiating vendor rates and managing service agreements and warranty claims
• Construction, buildout, or punch-list closeout experience
• Trade certification or coursework: HVAC, electrical, facilities management, EPA Section 608, or similar
• OSHA 10 or OSHA 30

Physical Requirements & Work Environment

• Ability to work in tight and elevated spaces and climb ladders
• Routine travel between client retail, cultivation, and manufacturing sites
• Work is performed in office, retail, warehouse, cultivation, and manufacturing environments that may include noise, dust, humidity and temperature variation, maintenance chemicals, plant material, and cannabis odor
• All sites are subject to continuous video surveillance and regulated access control
