The Luxembourg Transfer Agency business provides investor servicing solutions throughout the investor lifecycle, including investor onboarding, AML/KYC due diligence, periodic reviews, investor record maintenance, screening, regulatory reporting, and ongoing investor monitoring.

As regulatory expectations continue to evolve, ensuring a robust and efficient AML/KYC framework across the entire investor lifecycle remains a critical priority. As AML/KYC Periodic Review Oversight Manager, you will play a key role in the management, oversight, and continuous enhancement of Apex's investor due diligence framework.

The successful candidate will be responsible for overseeing the end-to-end execution of Periodic Review activities across multiple client relationships, ensuring regulatory compliance, service excellence, effective risk management, and timely completion of review programs.

This role requires close collaboration with operational teams in Luxembourg and India and includes both direct management and functional oversight responsibilities. The successful candidate will act as a key point of escalation for complex AML/KYC matters, contribute to strategic initiatives, support client engagements, and drive continuous improvement efforts across the wider investor lifecycle.

Whilst the primary focus of the position is the oversight of Periodic Reviews, the role will also actively support onboarding, remediation, ongoing monitoring, and other AML/KYC activities where business priorities require.

Key Responsibilities

Periodic Review Oversight

  • Oversee the end-to-end execution of investor Periodic Review processes across assigned client portfolios.
  • Ensure timely completion of Periodic Reviews in accordance with regulatory requirements, internal policies, client agreements, and risk-based review schedules.
  • Monitor service delivery performance, capacity utilisation, backlog levels, and review completion rates.
  • Act as escalation point for complex, high-risk, and exceptional investor cases.
  • Ensure consistency of review outcomes and application of AML/KYC standards across all teams.
  • Review and challenge risk assessments, investor classifications, and due diligence conclusions where required.
  • Support remediation programmes and regulatory driven review exercises.

Team Leadership and Oversight

  • Manage, coach, and develop designated AML/KYC team members where direct reporting lines exist.
  • Exercise functional oversight of offshore teams supporting Periodic Review activities.
  • Foster strong collaboration between Luxembourg and India teams.
  • Ensure work is allocated effectively according to priorities, risk levels, and resource availability.
  • Support recruitment, onboarding, training, and development initiatives.
  • Contribute to workforce planning and succession planning efforts.

Risk, Governance and Control

  • Ensure adherence to Luxembourg AML/CTF regulations, applicable international standards, and Apex internal policies.
  • Monitor key risk indicators and service quality metrics.
  • Perform quality assurance reviews and identify trends requiring remediation.
  • Support internal and external audits, compliance reviews, and client due diligence exercises.
  • Contribute to the enhancement of procedures, controls, and governance frameworks.
  • escalate identified risks, control weaknesses, and operational issues in a timely manner.

Client and Stakeholder Management

  • Act as a key AML/KYC contact for clients regarding Periodic Review activity.
  • Participate in client meetings, governance forums, and operational reviews.
  • Provide clear and concise reporting on review progress, risks, and operational performance.
  • Build and maintain strong relationships with internal stakeholders including Compliance, Risk, Transfer Agency Operations, Relationship Management, and Senior Management.
  • Support new business assessments and client onboarding projects from an AML/KYC perspective where required.

Operational Excellence and Continuous Improvement

  • Drive process optimisation and standardisation initiatives across Periodic Review operations.
  • Support automation, technology enhancement, and data quality initiatives.
  • Assist in the development and monitoring of KPIs, KRIs, and management reporting dashboards.
  • Identify opportunities to improve efficiency, scalability, and client experience.
  • Contribute to strategic projects linked to operating model enhancements and investor lifecycle transformation.
