Description
đź“‹ Tasks and responsibilities
The central warehouse in Hoboken supports site operations through goods receipt, storage, shipment coordination and the repair flow of materials. Warehouse administration is largely managed in SAP, including Warehouse Management, Inventory Management and Materials Management.
A recent system go-live is still being embedded into daily operations. At the same time, the warehouse is going through a temporary transformation linked to the MAG41 building situation. In this context, a Senior Project Manager will take the lead on the overall project structure and coordination.
This role combines building remediation, safety and operational continuity with improvements in warehouse capacity, organization, processes and systems. You lead the project governance, coordinate the different workstreams and steer the Project Management Officer. You consolidate project status and report progress, risks, decisions and recommendations to the Steering Committee.
At the start of the assignment, you ensure a structured handover of ongoing interventions, contractor commitments, technical findings, costs, risks, decisions and open actions into one integrated project framework.
Primary tasks and responsibilities
- Set up and chair the project governance, including steering committee meetings, workstream meetings, decision lines and escalation paths.
- Define roles and responsibilities between warehouse management, PMO, operational support and other stakeholders.
- Translate remediation needs, technical findings and warehouse transformation objectives into an integrated scope with clear workstreams, deliverables, priorities, milestones and decision points.
- Validate and steer the integrated project plan, ensuring alignment between timing, resources, dependencies and operational constraints.
- Coordinate workstreams covering building remediation, safety, operational continuity, temporary material flows and relocations, warehouse capacity and layout, processes and organization, and system embedding.
- Monitor the operational impact of project activities and align mitigation measures, resources and decision points with the relevant stakeholders.
- Steer the Project Management Officer and review planning, budget and WBS follow-up, risk and issue management, reporting and stakeholder communication.
- Determine, together with the PMO and operational stakeholders, when additional support is needed and integrate that support into the project planning.
- Oversee budget, commitments, actual costs, forecasts and WBS follow-up, including external contractor costs and temporary support, in cooperation with controlling.
- Identify risks and issues early and propose mitigation actions.
- Provide concise, decision-oriented reporting on progress, budget, risks, dependencies, required decisions and recommendations.
- Align with operations, supply chain, procurement, IT and business applications, EHS, controlling and external partners.
- Ensure all project actions comply with EHS standards on an active industrial site.
- Leave behind a documented and transferable project structure at the end of the assignment.
Key deliverables
- An integrated project scope, governance structure, roadmap and master plan for the MAG41 remediation and warehouse transformation.
- A consolidated technical and operational baseline following the initial actions and further investigations.
- Documented safety and operational continuity measures for the different project phases.
- Evaluated scenarios for remediation, redevelopment and, where relevant, alternative storage or operating arrangements.
- A recommended solution including scope, risks, budget, phasing and operational impact.
- A decision package and roadmap for the subsequent implementation or capital project phase.
