Overview
The full-time Special Assistant to the Office of the Provost and SVP for Academic Affairs, under the supervision of the Provost, provides day-to-day detail-oriented project management and administrative support for a busy office. The Special Assistant to the Office of the Provost and SVP for Academic Affairs plays a key role in the support and implementation of academic affairs initiatives, commencement, accreditation support, and copy-editing support. This person will also interact regularly with the Assistant Provost for Accreditation and Faculty Records, the Associate Provost for Strategic Initiatives, the Assistant Provost, the Office of Compliance and academic leadership of the University including deans and program chairs.
Responsibilities
Responsibilities of this position include but are not limited to:
- Managing projects, as necessary, for the Office of the Provost; to include, but not limited to: coordinating meetings of these task forces and committees, following-up with subcommittees, assisting in drafting potential policies, and research support and drafting of reports as needed.
- Assisting with the coordination of the Commencement of the Division of Graduate Studies including communication with internal stakeholders and external vendors.
- Organizing and executing events for faculty, staff, and students including coordinating communications, reserving space, setting up webinars, monitoring RSVPs, day-of-event support, and assessment of the event.
- Interfacing with relevant committees, work-groups, and councils to communicate between the Office of the Provost and constituents – may include coordinating meetings, taking notes, follow-up tasks as assigned.
- Performing special projects and assignments as requested.
- Coordinating the development, revision, and approval of organizational charts at the direction of the Assistant Provost for Accreditation and Faculty Records.
- Providing support in the development, revision, and approval of program catalogs and handbooks.
- Assisting with research and drafting of other documents and presentations for the Provost.
- Assist in the development and review of policies and procedures as needed for the Office of the Provost.
- Creating documents, spreadsheets, and presentations as needed for the Office of the Provost.
- Assisting with requested website updates for the Office of the Provost.
- Answering questions, solving problems effectively, and escalating relevant information appropriately.
- Continually assessing existing processes and procedures for possible areas of improvement and providing this feedback to the Provost.
Qualifications
Education/Experience
- Bachelor's degree required, advanced degree preferred.
- 2-5 years of administrative experience.
Knowledge/Skills/Abilities
- Strong interpersonal and writing skills.
- Well-organized, detail-orientated, self-directed and able to prioritize tasks.
- Ability to work well with teams.
- Extensive use of computers.
- Excellent writing and copy-editing skills.
- Familiarity working with AI.
- Highly-skilled in Microsoft Office Suite including Word, Excel, Power Point, Outlook.
Travel
- Travel as needed.
