Portfolio Manager – Multifamily Property Management
Philadelphia, PA | Centralized Operations | ~500 Units
Think Like a Regional. Operate Like an Owner.
A Philadelphia-based multifamily operator is hiring a Portfolio Manager to oversee day-to-day operations across a ~500-unit portfolio of smaller, urban boutique buildings.
Don't let the title fool you. This isn't a traditional single-property Property Manager role. Think District Manager or Regional Property Manager mindset in a smaller portfolio — someone who can manage multiple buildings, keep dozens of moving pieces organized, and own the entire resident lifecycle from countersign through move-out.
The company operates from a centralized office with no traditional on-site teams. Instead, shared leasing resources, maintenance technicians, and vendors are dispatched across the portfolio.
That makes organization, communication, and follow-through absolutely critical.
What You'll Own
You'll be the person making sure the details don't get lost between buildings, teams, vendors, and residents.
- Own the resident lifecycle from move-in and countersign through renewals, delinquency follow-up, unit turns, and move-out
- Manage and prioritize resident requests, maintenance needs, turns, renewals, and operational deadlines
- Dispatch and coordinate vendors and maintenance technicians — you're managing the work, not doing the work yourself
- Build and maintain systems, checklists, calendars, and workflows that keep the portfolio running smoothly
- Coordinate proactive resident communications, including heat alerts, storm notifications, building updates, and expectation management
- Monitor renewals and delinquency activity and ensure timely follow-up
- Partner with leasing and maintenance resources to keep units moving efficiently through the turn and lease-up process
- Identify problems before they become problems and make sure issues are followed through to resolution
- Help create consistency across multiple properties within a centralized operating model

We're looking for someone who naturally thinks in systems, checklists, timelines, and next steps. You don't need someone telling you what to do next — you see what's coming, build a plan, communicate expectations, and keep things moving.
A background as a Property Manager, Portfolio Manager, District Manager, Regional Property Manager, or multifamily operations professional could translate extremely well.
You'll need:
- 5+ years of multifamily property management or property operations experience
- Strong understanding of the resident lifecycle from lease execution through move-out
- Exceptional organization and follow-through
- Experience coordinating vendors, maintenance teams, and multiple operational priorities
- Strong resident communication and customer service skills
- A proactive, problem-solving mindset
- Ability to work independently and make decisions without constant hand-holding
- Comfort working from a central office with daily field presence across the portfolio
- Yardi experience preferred
- Elise AI experience is a plus, particularly with renewals and delinquency follow-up
Don't have Yardi or Elise AI experience? That's okay — the software can be taught. Organization and operational instincts are harder to teach.
