Embrace the role of a Depot Coordinator and play a critical role in supporting the daily flow of customer and loaner ultrasound systems through the Depot repair process. This position coordinates purchase order documentation, CRM activity updates, customer communications, loaner tracking, system check-in, and repair queue readiness to help ensure timely service, strong communication, and operational excellence.
Job Description
Roles and Responsibilities
- Coordinate Depot customer and loaner system activity from intake through completion, ensuring systems are checked in, tracked, and moved through the repair queue appropriately.
- Review incoming purchase orders and customer communications, attach required documentation to the correct CRM activity, and maintain accurate activity notes and records.
- Prepare and send customer update emails, return labels, loaner return reminders, and other Depot-related communications as needed.
- Monitor voicemails, email requests, and inquiries related to customer system status, loaner availability, and Depot activity follow-up.
- Maintain daily Depot workflow readiness by ensuring systems received before established cutoffs are pulled, reviewed, and assigned appropriate gameplans.
- Provide exceptional customer service by addressing inquiries and concerns promptly and professionally.
Qualifications –
- High school diploma or equivalent; additional education or certifications in logistics, customer service, or related fields is a plus.
- Proven experience in asset recovery, logistics, or a similar role.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in using computer systems and software for tracking and reporting purposes.
- Ability to work independently and as part of a team.
Preferred Skills -
- Experience in the medical equipment industry.
- Knowledge of Ultrasound equipment and its handling.
- Familiarity with CRM software and asset management systems.
- Experience using Microsoft outlook, Microsoft teams
