 The University of Miami/UHealth Department of Obstetrician & Gynecologist (OBGYN) has an exciting opportunity for a full-time Clinical Business Operations Representative 2 to work in Miami, FL. The Clinical Business Operations Representative 2 facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient care and records. The Clinical Business Operations Representative 2 assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards.

CORE JOB FUNCTIONS                                                                                                             

• Assists the department in managing expectations surrounding pre and post patient care.
• Obtains or reviews all patient demographic information, insurance information and referral numbers.
• Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.
• Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
• Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.
• Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
• Provides coverage for responsibilities of co-workers when assigned or as need arises.
• Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
• Maintains confidentiality of all information.
• Adheres to University and unit-level policies and procedures and safeguards University assets.

DEPARTMENT SPECIFIC FUNCTIONS                                                                             

• Responsible for physician’s schedule to coordinate academic and patient related activities. Monitors clinical schedule for providers to ensure accuracy of number and types of appointments. Review no shows and cancelled appointments as per department policy.
• Follow-up on all results for area of responsibility including but not limited to all lab work, pathology and ancillary testing such as mammograms, ultrasounds, MRIs as directed by providers. Also follow up on any necessary referrals to specialists, procedures as requested by providers.
• Submit requests as needed for any authorizations/referrals for these follow up appointments and procedures.
• Responsible for coordination of all physician surgeries and inpatient admissions according to departmental protocol.
• Coordinate and ensure receipt of financial and medical clearance for surgery and other duties as assigned.
• Function as the primary on phones using Nice Systems as a call center.   
• Answer phones and provide patients with the assistance/guidance they seek. 
• Scheduling/Rescheduling appointments of new and established patients.  
• Scheduling patients for procedures in office or at facility.  
• Managing provider’s bump lists and re-scheduling, with occasional assistance, within 48 hours of receiving the bump list. 
• Process CRM’s from clinical sites/Uconnect.  
• Scan patient documentation in chart.  
• Respond to all In baskets in a timely manner (what is considered timely is defined by the division). 
• Responsible for UChart scheduling In basket messages: Results notes/ RX Request/ Pt Calls/ Cc Chart and Rx Response assuring all messages are marked for completion.  
• Submission of relevant paperwork on behalf of our doctors.  
• Assist Faculty at JMH when scheduled.

CORE QUALIFICATIONS                                                                                                            

• High School Diploma or equivalent/relevant experience, certification or license
• Minimum 1 year of relevant experience required
• Refer to department description for applicable certification requirements

• Teamwork: Ability to work collaboratively with others and contribute to a team environment.
• Technical Proficiency: Skilled in using office software, technology, and relevant computer applications. - Communication: Strong and clear written and verbal communication skills for interacting with colleagues and stakeholders.
