Responsibilities

The Buyer I / RMA Coordinator is responsible for processing purchase requisitions for research and development (R&D) non-capital materials and printed circuit board assembly (PCBA) prototypes. This role coordinates and facilitates Return Material Authorizations (RMAs) for defective or non-conforming items, collaborating across departments to ensure materials are processed and returned in a timely manner. In addition, the position works closely with the Senior Commodity Manager on New Product Introduction (NPI) PCBA requisitions to secure production quotes and proactively identify high-risk electronic components.

Essential Duties and Responsibilities

  • Track, monitor, and manage the full lifecycle of open RMAs. Partner closely with the purchasing team, quality control, and suppliers to facilitate prompt returns, replacements, and credit processing.
  • Advise the Senior Commodity Manager on PCBA prototype requisitions. Evaluate bills of materials to identify high-risk, sole-sourced, or long-lead-time electronic components early in the design cycle.
  • Partner with the accounting department to establish and onboard new suppliers. Ensure vendor information and tax documentation meet company compliance standards.
  • Investigate and resolve invoice discrepancies in coordination with accounting and suppliers. Maintain accurate records to ensure prompt dispute resolution and prevent account holds.
  • Administer purchase orders with high attention to detail, verifying costs, terms, and supplier-confirmed delivery dates. Monitor order confirmations to maintain data integrity across all active orders.
  • Monitor the Microsoft Dynamics 365 released and approved requisitions report daily. Resolve discrepancies and convert approved requisitions into executed purchase orders within a 48-hour service level agreement.
  • Identify and resolve production shortages before they impact manufacturing operations. Provide proactive, transparent status updates to affected production teams and project managers.
  • Track supplier lead-time trends and update ERP system records as lead times fluctuate. Maintain current planning parameters to ensure material requirements planning (MRP) accuracy.
  • Provide continuous, transparent communication to internal requestors regarding the status of their purchase requisitions and orders. Follow through on delivery commitments and expedite orders when necessary.
  • Cultivate strong cross-functional relationships across R&D, engineering, manufacturing, quality, and finance. Serve as a dependable procurement partner to all internal teams supported by the purchasing department.
  • Execute other related purchasing, inventory coordination, and operational duties as assigned.

Qualifications

  • Demonstrated experience handling both direct materials, such as electronic components, and indirect materials and services.
  • Excellent written and verbal communication skills, including the ability to interpret technical documentation and communicate effectively across all organizational levels.
  • Proficiency with the Microsoft Office Suite, specifically intermediate to advanced Microsoft Excel and Word capabilities. Hands-on experience with Microsoft Dynamics 365 or SAP is highly desirable.
  • Demonstrated capacity to multitask, prioritize competing deadlines, and maintain operational composure in a fast-paced, evolving environment.

Education/Experience

  • Bachelor of Science degree in Supply Chain Management, Business Administration, or a related discipline from an accredited institution or relevant experience is preferred.
  • Minimum of two years of professional purchasing experience. Prior procurement experience within a high-tech or manufacturing environment is strongly preferred.
