Start your procurement career with JLL in Warsaw, supporting one of our key clients as a Vendor Data Coordinator. You’ll help onboard suppliers, keep vendor data accurate, and make sure contract documentation is complete and well organized. Working with colleagues and suppliers across EMEA, you’ll learn how procurement, compliance, and data management fit together in a global commercial real estate environment. This is a hands-on, entry-level role with training and mentoring from an experienced team. If you’re organized, detail-oriented, and eager to learn, it’s a great first step into procurement.
What You’ll Do
- Support the supplier onboarding and pre-qualification process, helping ensure suppliers meet JLL and client requirements (health & safety, insurance, financial and regulatory standards)
- Communicate with suppliers to collect and follow up on documents, keeping onboarding on schedule
- Enter, update, and check vendor master data in procurement systems, helping keep records accurate and clean
- Assist with contract documentation, including routing for approvals, collecting signatures, and filing documents in a structured way
- Prepare routine compliance and contract reports and help gather data for spend analysis
- Help collect supplier documentation during sourcing and proposal processes
- Assist with tracking supplier KPIs in JLL regional systems and flag issues to the team
- Provide administrative support, including meeting minutes, correspondence, and document management
What We’re Looking For
- A Bachelor’s degree, or equivalent education, ideally in business, economics, administration, or a related field
- Strong written and spoken Polish and English
- A keen eye for detail and a commitment to data accuracy
- Good organizational skills and the ability to manage several tasks and deadlines at once
- Solid working knowledge of Microsoft Office, especially Excel, Word, and Outlook, and willingness to learn new procurement systems
- Clear, friendly communication and a collaborative approach when working with colleagues, suppliers, and clients from different cultures
- A proactive, curious mindset: you take ownership of your tasks, ask questions, and look for ways to improve how things are done
- A plus: knowledge of another European language
