Posting Summary:
Mission Multiplier is looking for candidates for a potential Executive Assistant role that will help support the CEO as well as assist with HR responsibilities as needed. This position would primarily report to the corporate headquarters in Huntsville, AL.
Job Responsibilities:
- Provide comprehensive administrative support to executive leadership, including calendar management, meeting coordination, scheduling, correspondence, reminders, and management of competing priorities.
- Coordinate executive meetings and company activities by preparing agendas, organizing materials, documenting action items, maintaining follow-up lists, and ensuring assigned actions are completed.
- Help manage executive travel arrangements, itineraries, reservations, expense reports, and related administrative logistics.
- Prepare, edit, organize, and maintain professional correspondence, presentations, reports, forms, policies, spreadsheets, and other business documentation on behalf of company leadership.
- Serve as a trusted administrative liaison between executives, employees, customers, vendors, partners, and other stakeholders while maintaining appropriate confidentiality and professionalism.
- Coordinate employee onboarding and offboarding activities, including new-hire paperwork, orientation scheduling, personnel documentation, benefit information, equipment/access coordination, and separation checklists.
- Maintain employee personnel files, HR records, organizational charts, job descriptions, policy acknowledgments, training records, and other employment-related documentation.
- Support recruiting activities by coordinating job postings, applicant communications, interviews, candidate documentation, reference or background screening processes, and offer/onboarding logistics.
- Assist with routine HR administration, including benefits enrollment, employee changes, leave tracking, HR-related payroll notifications, employee communications, and responses to general HR questions.
- Support company-wide administrative and HR initiatives, including employee events, training, performance review cycles, policy distribution, compliance tracking, and other special projects assigned by executive leadership.
Qualifications:
- Bachelor's degree in Business Administration, Human Resources, or a related field preferred; equivalent professional experience may be considered.
- 3+ years of experience providing executive, administrative, office management, HR coordination, or similar professional support.
- Demonstrated ability to manage executive calendars, competing priorities, meetings, travel, correspondence, and follow-up activities with limited supervision.
- Experience supporting HR activities such as onboarding, recruiting coordination, personnel records, benefits administration, or employee communications is strongly preferred.
- Exceptional organizational skills, attention to detail, follow-through, and ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills with the ability to professionally interact with executives, employees, customers, and external stakeholders.
- High degree of discretion and demonstrated ability to handle confidential executive, personnel, financial, and company information appropriately.
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams, and the ability to quickly learn HR, payroll, and business systems.
- Ability to exercise sound judgment, independently resolve routine administrative issues, and recognize when matters should be elevated to executive leadership or an HR professional.
- Prior experience in the Government contracting, professional services, technology, cybersecurity, engineering, or similar environment is preferred.
