About this Role
The Risk Administrator provides administrative support to the Risk Management department across multiple utility construction operating companies (OpCo’s). This position is primarily responsible for coordinating and managing the certificate of insurance (COI) process, including request intake, documentation review, tracking, communication, follow-up, and delivery.
The Risk Administrator serves as a key point of coordination between operating companies, Corporate Risk Management, contracts personnel, and designated insurance brokers to ensure timely and accurate processing of insurance documentation. As proficiency develops, this role will assume additional responsibilities involving recurring risk reporting, workers’ compensation administration, and claims support. The ideal candidate is highly organized, detail-oriented, and capable of independently managing administrative processes while recognizing when matters require escalation or management review. Come be a part of our growing team here at Quanta South Region.
What You'll Do
- Manage the COI process for multiple operating companies, including receiving and tracking requests, reviewing entity names, certificate holder information, project details, and supporting documentation for completeness and accuracy.
- Coordinate communication between operating companies, Corporate Risk Management, contracts personnel, and insurance brokers to process requests, obtain missing information, resolve administrative discrepancies, and ensure timely completion and delivery of certificates.
- Monitor outstanding COI requests, proactively follow up on pending items, communicate status updates, and escalate complex coverage questions, contractual insurance requirements, or matters requiring management approval to authorized reviewers.
- Coordinate Railroad Protective Liability (RPL) insurance requests, including applications, quotes, operating company approvals, authorized binding instructions, policy documentation, and invoice distribution in accordance with established procedures.
- Support annual insurance renewals, maintain organized records of certificates, endorsements, approvals, and correspondence, and update request trackers, contact lists, and administrative procedures while identifying opportunities to improve efficiency.
- Prepare and maintain assigned recurring risk management reports, including workforce statistics, QRisk, job listings, and UAV surveys using Origami Risk or other designated systems. Monitor reporting deadlines, reconcile information, and communicate potential delays or discrepancies to management.
- Provide administrative support for workers’ compensation and claims activities as assigned, including collecting wage records, obtaining work-status documentation, organizing claim files, coordinating follow-up, and performing additional departmental administrative responsibilities.
What You'll Bring
- High school diploma or equivalent with relevant experience in insurance, claims administration, agency or brokerage support, certificate administration, or risk management support; alternatively, a bachelor’s degree with demonstrated administrative and organizational capabilities.
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Teams, with the ability to learn and navigate additional administrative and risk management systems.
- Strong organizational skills, exceptional attention to detail, and demonstrated ability to manage multiple requests, maintain accurate records, and consistently meet recurring deadlines.
- Excellent written and verbal communication skills, with the ability to coordinate effectively across departments, operating companies, and external business partners while maintaining professionalism during urgent requests or challenging conversations.
- Ability to independently manage routine administrative responsibilities, follow established procedures, apply feedback, exercise sound judgment, and recognize when issues require escalation or additional review.
- Ability to maintain confidentiality when handling sensitive business, insurance, and employee information while contributing effectively within a collaborative team environment.
- Preferred experience in commercial insurance, claims handling, adjusting, COI administration, or insurance agency and brokerage operations. Familiarity with commercial liability coverage, workers’ compensation, endorsements, and contractual insurance terminology is a plus. An adjuster’s license is preferred but not required.
- Experience supporting construction or utility operations and familiarity with Origami Risk, SharePoint, OneDrive, recurring reporting processes, or administrative process improvements are preferred.
