Our people at JLL are shaping the future of real estate for a better world by combining world class services, advisory and technology for our clients. We are committed to hiring the best, most talented people and empowering them to thrive, grow meaningful careers and to find a place where they belong.  Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.

Workplace Ambassador (m/f/d)

You're the first person our Client's guests and employees meet. You'll welcome visitors, manage the mail and shipments that keep the workplace running, and support the facilities team with daily administration, health and safety checks and supplier visits. You'll report to the Workplace Coordinator and work with a team that puts guests first. Your job is to make people feel welcome and comfortable, bring the Client's brand to life, and solve problems as they come up.

What you'll do

Reception and guest experience

  • Cover reception, greeting and registering visitors, guests and employees, and directing them to the right place.
  • Handle guest services and meeting room bookings, keeping every room presentable and ready for use.
  • Answer questions from employees and guests, and manage last-minute or urgent requests quickly.
  • Give accurate answers on dietary allergens and intolerances when employees or guests ask.

Mail, deliveries and shipping

  • Receive, sort, log and distribute incoming mail and parcels, and prepare outgoing mail and shipments.
  • Follow the correct process for all deliveries and catering.
  • Keep storage spaces, lift areas and pantry areas organised and presentable.

Events and hospitality spaces

  • Plan and carry out requests across events and hospitality, including set-up and reset to the Client design.
  • Support catering as needed, adding creative design where you can.
  • Move and reset furniture and equipment as events require. This involves lifting and shifting heavy items.
  • Keep vendor equipment organised and return it in the same condition it arrived in.
  • Care for the Client's property, including furniture and equipment, and apply hands-on training to protect it.

Facilities administration

  • Support facility administration, including preparing, checking and routing supplier invoices for approval, and keeping records accurate.
  • Order materials and supplies for the workplace, reception, pantry and events, and keep stock at the right level.
  • Log maintenance issues in the ticketing system and escalate them when needed.
  • Tell the team and the Client early when something needs attention, and help find the solution.

Health, safety and security

  • Carry out regular health and safety walks of the site, record what you find, and log and escalate any issues.
  • Escort suppliers and contractors while they're on site, making sure they follow the site's health, safety and security rules.
  • Follow local legislation and the Client's health and safety (H&S) protocols at all times.
  • Play an active part in the Client's emergency response team (ERT) program, responding to emergencies for the Client and the Workplace Services team.
  • Follow corporate security policies, build a strong working relationship with the on-site security team, and keep security and H&S front of mind when events are running.

Key relationships

  • Daily contact with Client employees at all levels. They receive the same high level of service as our guests.
  • Daily contact with potential and existing customers. The impression you create is the Client's impression.
  • Regular contact with suppliers and vendors.
  • Close day-to-day work with the janitorial team, so spaces stay clean and tidy.
  • Strong working relationships with key stakeholders, the facilities team and on-site security.

What you'll bring

Experience and skills

  • Fluent English and German.
  • Customer service experience in a fast-paced environment. Hospitality or events experience in a front-of-house or operational role is preferred.
  • Experience with administrative work such as invoices and ordering. Experience of health and safety inspections is a plus.
  • Intermediate to advanced IT skills.
  • Strong organisation and time management, with high attention to detail.

Interpersonal skills

  • A genuine passion for customer service, and a willingness to do more to meet a guest's needs.
  • A proactive, positive attitude, and the ability to prioritise and multitask.
  • Excellent communication, with a clear understanding of confidentiality and diplomacy.
  • A team player and problem solver who meets deadlines and motivates those around you.
