The Role
The Intake Coordinator is the first person families talk to when they reach out to Archways. You'll guide new families from first call to first session: gathering information, verifying insurance, and collecting documents. Speed and compassion both matter here, because many families are reaching out at a stressful moment.
The Intake Coordinator is the first person families talk to when they reach out to Archways. What You'll Do
• Respond quickly to new inquiries from phone, email, web forms, and referral sources
• Conduct intake calls to gather client information and explain our services and next steps
• Verify insurance eligibility and benefits for ABA
• Collect required documents such as diagnostic reports, referrals, and insurance cards
• Track every lead through the intake pipeline in our CRM and keep status updates current
• Follow up consistently with families so no one falls through the cracks
• Build relationships with referral sources such as pediatricians, diagnosticians, and schools

What We're Looking For
• 1+ years in intake, patient access, front desk, or admissions in healthcare a plus
• ABA or behavioral health experience a plus
• Excellent phone presence: warm, clear, and reassuring
• Highly organized, with strong follow-through and attention to detail
• Comfortable working in a CRM and juggling a high volume of inquiries
