Description
The Mail Clerk will perform duties related to the regular handling of mail or packages by performing manual duties and operating mail-processing machine. This position assists the Mail Services Manager with the Mail Center functions as needed.
JOB DESCRIPTION:
Essential duties include but are not limited to:
Mail Sorting and Distribution: 25%
- Receive, sort, and distribute incoming mail and packages to various departments, faculty, students, and staff.
- Ensure mail is sorted by recipient’s name, department, or other specified criteria by 1:00pm daily.
- Handle special deliveries, including registered, certified, and express mail.
- Determine the proper disposition of undeliverable mail within the same day of receipt and process accordingly.
Customer Service: 25%
- Assist students, faculty, and staff with mail-related inquiries and provide excellent customer service.
- Offer guidance on mail and package sending procedures, including postage rates and packaging recommendations.
- Evaluating, stamping and/or arranging outgoing mail and packages, according to USPS Postal regulations and requirements, operating mail-processing machine as necessary
Mail Dispatch: 10%
- Collect outgoing mail from various departments and prepare it for dispatch.
- Weigh and apply appropriate postage to outgoing mail and packages.
- Coordinate with external postal and courier services for timely dispatch.
Record Keeping: 10%
- Maintain accurate records of incoming and outgoing mail, including tracking numbers, sender and recipient details, and delivery dates.
- Handle mail-related inquiries and resolve issues related to lost or misdirected mail.
Package Handling: 10%
- Receive and log packages delivered to the university.
- Notify recipients of package arrivals and coordinate pick-up or delivery if needed.
- Ensure safe storage of packages until they are picked up by recipients.
Interaction with Mail Partners: 10%
- Coordinate with mail partners like Amazon, FedEx, UPS, and other courier services to ensure timely and accurate delivery and dispatch of mail and packages.
- Address and resolve any issues related to the services provided by these partners.
Equipment Maintenance: 10%
- Operate and maintain mailroom equipment, including postage meters, sorting machines, and labeling machines.
- Report any equipment malfunctions and coordinate repairs or replacements as needed.
General Duties:
- Ensure the Mail Center is kept clean, organized, and free from hazards.
- Adhere to university policies and procedures related to mail handling and distribution.
- Stay updated with postal regulations and changes that might affect university mail operations.
- Maintain the proper distribution of supplies to all Mailstops. Record and stock incoming supplies in the Mail Center maintaining inventory and ordering supplies.
- Update reports in a monthly calendar.
- Other functions may be assigned as needed at the direction of the Mail Services Manager.
Minimum Qualifications:
Education
- High school diploma or equivalent.
Experience
- One year experience operating in a mail room environment.
Skills
- Ability to operate computerized shipping and mail management systems.
- Ability to operate mailing equipment including mailing machine, postage meter, electronic weight scale and others as necessary.
- Demonstrated ability to prioritize and handle multiple tasks with accuracy.
- Demonstrated wise judgment, problem-solving skills, and the desire to learn new technologies.
- A strong evidence of a spirit of collegiality and a strong service orientation.
- Capacity for developing and sustaining effective relationships with administrators, faculty, staff, and students.
- Outstanding oral and written communication skills.
- High ethical and professional standards.
- Capacity to work well independently and with a team in a fast-paced environment.
- Ability to stand, walk, and move around for extended periods of time and move and/or lift objects up to 70 pounds.
- The role involves routine interaction with various university community members, requiring a professional and courteous demeanor.
