FOOD & BEVERAGE ADMINISTRATIVE COORDINATOR

We are currently seeking a highly organized and detail-oriented individual to join our team as a Food & Beverage Administrative Coordinator at the DoubleTree by Hilton Manchester Downtown. This position plays a key role in supporting the banquet, outlet, and culinary departments through high-level administrative assistance, operational tracking, and communication support.
Key Responsibilities:
• Maintain and organize banquet documentation including BEO books, signed contracts, set sheets, and event signage.
• Attend daily meetings and communicate updates on allergies, dietary needs, and room changes to banquet and culinary teams.
• Maintain training records, schedule compliance certifications, and archive departmental logs and checklists.
• Create and maintain departmental documents including SOPs, deep cleaning schedules, checklists, and tip pool breakdowns.
• Support menu, signage, and POS updates for outlets, banquets, and the Made Market.
• Assist with inventory tracking, banquet bar orders, cost control logs, invoice coding, and linen/uniform ordering.
• Track and report F&B capture ratios, sales data, and marketing initiative results.
• Design and manage internal signage, menus, buffet labels, and branded materials for F&B areas and events.
• Coordinate with marketing and hotel leadership to support VIP amenity planning, seasonal promotions, and media shoots.
• Provide tech support for F&B systems including POS terminals, printers, menus, and shared drive access.
• Compile weekly communication newsletters and ensure property-wide awareness of hours of operation and F&B updates.
• Participate in hotel-wide initiatives, including special projects, departmental celebrations, and training audits.
· Communicate group parking requirements and planned lot closures to hotel staff, coordinating with Security to ensure all contracted areas are available.
· Maintain the hotel lobby reader board with customized group welcome messages, restaurant promotions, and current specials.
· Create and publish restaurant advertisements across various social media platforms.
· Manage action items identified during weekly walkthroughs and coordinate with department heads to ensure timely completion.
· Maintain Safety Committee meeting notes and work with the appropriate department heads to accurately document the status of all action items.
Requirements:
• Prior administrative experience in food & beverage or hospitality operations.
• Proficiency in Microsoft Office, Canva, Adobe Acrobat, POS platforms (Micros, Clover, Toast), and labor/scheduling systems.
• Familiarity with hotel management systems such as Delphi, OnQ, Opera, or PEP a plus.
• Exceptional organizational skills with the ability to multitask and manage complex workflows independently.
• Excellent written and verbal communication skills.
