Summary
The Loan Portfolio Manager supports a Commercial Lender and/or a Market President in managing, servicing, and growing a portfolio of commercial and consumer loans. This role is responsible for coordinating all aspects of loan closings, ongoing portfolio administration, and customer service to ensure accurate documentation, timely funding, regulatory compliance, and a high-quality client experience.
Location: While this position is posted for Santa Rosa Beach, FL, the selected candidate may be required to work from our Miramar Beach, FL office on a temporary basis. Once a physical branch/location is opened in the Santa Rosa Beach area, the position will transition to that location. The timing and specifics of this transition are dependent on various business and operational factors, and the anticipated timeline may change.
Responsibilities
- Serve as a primary point of contact for customer inquiries related to loan servicing, payments, escrow, and basic account questions.
- Respond promptly and professionally to incoming customer calls and messages, escalating complex issues to the Commercial Lender or Market President as needed.
- Support the Commercial Lender in customer meetings by preparing materials, gathering required financial information, and documenting follow-up items.
- Coordinate end-to-end loan closing process for commercial and consumer loans.
- Work with the loan documentation department to request, review, and prepare loan documents for accuracy and completeness.
- Gather and verify required documentation prior to closing (e.g., tax returns, financial statements, insurance certificates, entity formation documents, personal identification, collateral information).
- Engage and coordinate with third parties including appraisers, attorneys, title companies, and other vendors.
- Schedule and coordinate loan closing logistics with borrowers and attorneys, ensuring all closing conditions are satisfied.
- Review closing checklists and funding memos; ensure all necessary approvals and signatures are obtained prior to disbursement.
- Process loan payments, payoffs, advances, and other transactions related to loan accounts in accordance with bank policies and procedures.
- Monitor loan accounts for past due status, collateral insurance coverage, property tax payments, and other ongoing requirements.
- Assist with clearing loan documentation and policy exceptions by obtaining missing items and updating records.
- Review and monitor NSF items and overdrafts for accounts assigned to supported loan officers; follow up with customers as appropriate.
- Maintain accurate and up-to-date electronic and physical loan files, including ticklers and covenant tracking where applicable.
- Ensure that all loan closing and servicing activities comply with applicable bank policies, procedures, regulatory requirements, and internal controls.
- Assist in obtaining and maintaining required insurance policies, UCC filings, and other collateral-related documentation.
- Assist with the preparation of portfolio reports, past due reports, and exception reports for review by the Commercial Lender and Market President.
- Monitor key portfolio metrics (e.g., delinquencies, exceptions, maturities) and assist in proactive follow-up and resolution.
- Support periodic portfolio reviews and risk rating updates through data collection and file organization.
- Perform other duties and special projects as assigned by the Commercial Lender, Market President, or senior management.
Requirements
Skills/Experience/Education
- High school diploma or equivalent required; associate or bachelor’s degree in business, finance, accounting, or related field preferred.
- Prior experience in commercial or consumer lending, loan operations, or related banking role preferred.2 plus years of loan processing experience required.
- Strong understanding of basic lending concepts, loan documentation, and collateral requirements (or ability to learn quickly).
- Excellent organizational skills with strong attention to detail and accuracy.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Strong customer service and communication skills, both verbal and written.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and core banking/loan systems.
- Ability to work independently while also functioning effectively as part of a team.
- High level of integrity and discretion in handling confidential information.

- Ability to read and interpret a document if required to perform the essential job functions.
- Prolonged periods of sitting at a desk and working on a computer may be required.
- Ability to lift/move/carry approximately 15 pounds if required to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department/division any “undue hardship” then the employee must be accommodated; hence omitting lifting/moving/carrying as a physical requirement.
