The College of Architecture, Art, and Planning at Cornell University (Cornell AAP) includes the departments of Architecture, Art, City and Regional Planning, the Paul Rubacha Department of Real Estate, jointly led by AAP and the SC Johnson College of Business, the multicollege Department of Design Tech, and the Cornell Mui Ho Center for Cities. This position serves the College of Architecture, Art, and Planning (AAP) and provides day-to-day facilities support for the college’s buildings, spaces, faculty, staff, and students. The Level 3 Building Coordinator works under the direction of the Assistant Director of Facilities and other experienced Facilities staff and provides hands-on support for building operations, maintenance, cleanliness, safety, and the academic mission of the college.


The position is an entry point into the Facilities organization and provides an opportunity to develop knowledge and experience in building operations, maintenance, customer service, project coordination, and facilities management. The Building Coordinator is expected to learn university processes and procedures, recognize basic facilities issues, take appropriate action, and seek assistance when issues require additional expertise or resources.
 

Primary Responsibilities:

Duties include moving and arranging furniture, supplies, and equipment; investigating and helping coordinate the repair of basic maintenance issues; monitoring building cleanliness and general conditions; removing recycling and trash; and assisting with the ongoing care and stewardship of AAP facilities.
 

The Building Coordinator will assist the Assistant Director of Facilities with maintaining safe, functional, and compliant buildings. This includes supporting building walkthroughs and inspections, identifying potential safety or maintenance concerns, communicating issues to the appropriate Facilities or campus partner, and assisting with follow-up to ensure work is completed. The position will also support the Assistant Director on larger facilities projects and other initiatives as assigned.
 

The position will maintain and utilize the college-level facilities request ticketing system, including entering, updating, tracking, and following up on service requests. The Building Coordinator will help ensure that requests are appropriately communicated and that faculty, staff, and students receive timely updates regarding their facilities concerns.
 

The position requires a strong commitment to customer service and the ability to build and maintain trust with faculty, staff, and students. The Building Coordinator maintains a consistent service-oriented attitude when communicating and interacting with the AAP community. Client feedback and information regarding facilities requests should be provided in a timely, accurate, professional, and tactful manner.
 

Because AAP’s facilities support a wide range of academic activities, the Building Coordinator must be flexible and willing to respond to changing needs and priorities. The position requires the ability to work both independently on routine assignments and collaboratively with Facilities staff and campus partners on more complex needs.

Maintenance and Repairs

  • Act as liaison between AAP’s five departments, staff, faculty and University’s Facility and Campus Services trades in addressing maintenance issues; including investigating and reporting problems. Issue Maximo tickets for AAP buildings.

  • Communicate with AAP staff and faculty as to ensure maintenance work does not interrupt the core academic and administrative missions.

  • Maintain and utilize the college-level facilities request ticketing system, including entering, updating, tracking, and following up on service requests.

  • Perform daily inspections of the buildings and grounds.

  • Work with the Assistant Director to address any and all issues to ensure spaces are well maintained.

Events and Reviews - Working with department and college staff and faculty, coordinate events to ensure their success.

  • Coordinate review and event setups and take downs.

  • Coordinate custodial services for larger events to ensure spaces are ready and that events are cleaned up once the event is over.

  • Working with the college’s IT team, ensure that all technology is delivered and ready.

  • Working with the department and college representatives, assist with scheduling and coordinating caterers.

  • Work with local safety and compliance officers – fire marshal, Cornell’s Emergency, Health, and Safety (EH&S) staff – to ensure events and furniture layouts follow all state and federal regulations.

Moving, Deliveries and Inventories

  • Assist with moving offices, office suites, equipment, and supplies. Moves include taking furniture and equipment to and from the college’s offsite storage.

  • Multiple times a year, assist with art and architecture studio cleanouts. This includes the removal of large quantities of garbage, rearranging hundreds of desks, and deep cleaning spaces. Assist building care with annual floor waxing and cleaning by rearranging furniture as needed.

  • Receive large deliveries and daily mail.

  • Provide faculty and staff assistance in moving and setting up equipment and furniture. Ensure delicate equipment is moved carefully and professionally.

  • Ensure that storage at the offsite warehouse is properly maintained and inventoried.

  • Ensure room readiness through the set-up and takedown of furniture for events and classes, including delivering furniture and equipment daily. When required work with other facilities and shop staff to build and install custom furniture to support special events.

Recycling and Waste

In support of the College's commitment to Cornell's Sustainability Action Plan, consolidate recycling and waste items from five AAP buildings (Rand, Sibley, Tjaden, Milstein, and Foundry).

Other Position-Related Responsibilities

Participate in projects or other duties as assigned with occasional work responsibility falling above or below current classification.

Completion of any university required compliance trainings.
