Associate, Philanthropy and Gift Planning Operations

Position Summary 
The Associate, Philanthropy & Gift Planning Operations supports core operational functions of the Philanthropy & Gift Planning (PGP) department, ensuring accurate donor data, timely gift processing, and effective use of systems such as Salesforce in partnership with internal teams, leadership, vendors, and consultants. This role plays a critical part in maintaining data integrity, supporting donor engagement processes, and enabling efficient department operations through reporting, list generation, and systems support.  

Key Responsibilities 

  • Process gifts, acknowledgements, and receipts accurately and in a timely manner 
  • Maintain and update donor and fund records  
  • Support the generation of donor lists for mailings, newsletters, and other donor engagement  
  • Produce reports and dashboards to track donor engagement and activity 
  • Support donor fund administration, including opening/closing donor advised funds 
  • Produce and distribute donor fund statements  
  • Support grantmaking operations in Salesforce  
  • Maintain electronic filing systems and documentation 
  • Monitor and resolve data issues, including duplicate records and data integrity concerns 
  • Supports virtual and in-person events by assisting with the generation of email/guest lists, syncing Salesforce and Pardot campaigns, and managing post-event data uploads and maintenance 
  • Supports RSVP tracking and day-of guest registration for events as needed 
  • Assists in the monitoring and resolution of the department support ticketing system via Smartsheet 
  • Recommend and implement improvements to data entry and reporting processes, and ensure process changes are recorded and updated in PGP Operations Manual 
  • Serves as a resource for the PGP department in their utilization of Salesforce and other technology tools 

Authority & Reporting 
The role sits within the Philanthropy and Gift Planning department.  

  • Reports to: Director, Donor Operations & Strategy 
  • Partners most closely with: PGP Operations Manager, Finance, IT, PGP team 

Qualifications & Competencies 

  • Minimum of 2+ years of relevant experience 
  • Experience working with nonprofit databases and data entry management, Salesforce preferred 
  • Strong organizational, analytical, and project coordination skills 
  • Exceptional attention to detail with ability to manage multiple priorities and deadliness 
  • Ability to handle confidential information with discretion 
  • Strong problem-solving and data management skills 
  • Ability to learn new applications, platforms and systems quickly 

Technical abilities and skills  

  • Intermediate to advanced computer/software skills, including Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams, & Copilot) and Zoom.   
  • Ability to learn and navigate online platforms, including Fluxx, Qliksense, Smartsheet Salesforce, NetSuite and other platforms as needed

Compensation & Benefits

Position Pay Rate: $4887.50 per pay period

Remote Work Policy 
This position follows a long-term hybrid work model. Dedicated to its employee health and safety, The Foundation will continue to make decisions in accordance with San Francisco County and California mandates. Employees must reside in or be willing to relocate to the San Francisco Bay Area and work in the office a minimum of one day per week. 

Physical Requirements  
This role is primarily sedentary and performed in a hybrid or remote office environment. It requires prolonged computer use, virtual communication, and occasional light lifting (up to 10 lbs.).
