Job Title: Assistant, Merchandise Production
A little bit about our team:
The merchandise production team manages global sourcing, product development, purchasing, production and logistics to deliver merchandise for a vast roster of artists covering concert tours, eCommerce and third party retailers. Merchandise includes a variety of branded apparel, headwear, accessories, paper goods, etc.
Your role:
We are seeking a highly organized and detail-oriented Merchandise Assistant to support our merchandising and buying teams. In this role, you will be the administrative backbone of the department, ensuring that product flows smoothly from the initial order stage through to final delivery. You will play a crucial role in maintaining accurate data, communicating with suppliers, and keeping cross-functional teams aligned on inventory status.
Here you’ll get to:
Raise and Manage Purchase Orders (POs): Accurately generate, input, and issue purchase orders to suppliers in a timely manner, ensuring all product details, quantities, and pricing are correct.
Update and Maintain Trackers: Take ownership of critical path and delivery tracking documents. Continually update spreadsheets and internal systems to reflect current production statuses, shipping dates, and stock movements.
Supplier Communication: Act as a key point of contact for suppliers and vendors regarding order statuses. Proactively chase down late deliveries, resolve discrepancies, and request necessary shipping documentation.
Data Management: Maintain accurate product data, pricing structures, and supplier information within the internal merchandising systems
Sample Management: Receive, log, and organize pre-production and shipment samples, ensuring they are available for review by the relevant team members.
Administrative Support: Assist the Merchandiser with ad-hoc reporting, sales analysis, and general administrative duties as required to support departmental goals.
About you:
1–2 years of experience in an administrative, retail, or entry-level merchandising role is preferred but not essential.
Strong computer skills, with a high level of proficiency in Microsoft Excel or Google Sheets (e.g., VLOOKUPs, pivot tables) for maintaining complex trackers. Experience with ERP or retail management systems is a plus.
Exceptional accuracy in data entry and numerical analysis; a keen eye for spotting errors before they become issues.
Proven ability to manage multiple priorities, meet deadlines, and stay organized in a fast-paced, high-volume environment.
Clear, confident, and professional written and verbal communication skills for effective supplier and internal stakeholder management.
A proactive, "can-do" attitude with the ability to troubleshoot minor supply chain hiccups independently.
