Description

This position is responsible for analyzing, reconciling, and reporting chargeback activity across customer, supplier, and internal data as part of the Marketing/Sales division.  Chargebacks are claims submitted by AIT for the difference between the replacement cost of a part and the agreed-upon price negotiated by the Sales team and supplier.  The role supports accurate claim resolution, compliance with internal controls, and timely reporting in alignment with the company’s business objectives and strategic direction.

Scope of Responsibility

  • Manage the chargeback claims process, including outgoing and returned submission claims, to ensure timely processing and completion.
  • Research and respond to questions regarding chargeback submissions to support accurate and timely resolution.
  • Reconcile chargeback amounts within a process-driven SAP/Vistex environment and analyze discrepancies using supplier agreements, customer pricing, sales data, invoices, and related records.
  • Collaborate with field and corporate associates to investigate chargeback discrepancies, determine appropriate resolutions, monitor open issues, and ensure compliance with company chargeback policies.
  • Partner with Finance to support financial accounting requirements, including SOX audit standards and internal controls.
  • Monitor debit and credit activity related to chargebacks and other product management programs.
  • Collaborate with suppliers to develop, implement, and maintain best-practice claim processes.
  • Develop and maintain metrics to measure supplier response, acceptance, and resolution of chargeback submissions, and prepare monthly management reports.
  • Assist with creating and updating chargeback agreements, procedures, and best-practice claim processes as needed.
  • Actively participate in continuous improvement initiatives for chargeback processes.
  • Perform other job-related duties as assigned or directed.

Qualifications

  • Bachelor’s degree preferred; High School diploma or GED Required
  • 3+ years of related experience preferred.
  • Process-driven approach with strong analytical and problem-solving skills.
  • Advanced proficiency in Microsoft Excel.
  • Strong organization and time-management skills, with the ability to work independently and in a team environment.
  • Strong written and verbal communication skills.
  • SAP OTC (Order to Cash), Vistex Modules, and Power BI experience preferred
