Position Summary
The Workforce Operations Coordinator supports the department manager in coordinating and scheduling field personnel to meet operational and project requirements. This role serves as a key point of coordination between employees and management, including assigning work orders, managing employee schedules and assignments, monitoring attendance and timesheet information, and responding to workforce-related operational issues.
The position also reviews labor and bank-hour transactions, maintains accurate workforce records, analyzes operational data, and identifies discrepancies or unusual reporting patterns to support the efficiency and integrity of Field Controls operations.
Key Responsibilities
- Coordinate the scheduling and assignment of field personnel based on work orders, project requirements, employee availability, and operational priorities.
- Support the department manager in allocating employees to work orders and projects and adjusting assignments as operational needs change.
- Communicate with employees and managers regarding work schedules, assignments, schedule changes, and operational requirements.
- Coordinate and maintain accurate records of employee assignments, schedules, work orders, and related workforce information using company-approved systems.
- Monitor and maintain accurate work order information, including updates, status changes, and completion records.
- Review employee timesheets, job numbers, labor allocations, and bank-hour transactions to ensure accuracy, completeness, and compliance with company policies.
- Analyze labor utilization, time reporting, and operational data to identify discrepancies, unusual trends, inconsistencies, or potential misuse of company time-reporting systems.
- Investigate time-reporting discrepancies through data analysis and supporting documentation, and escalate findings to management for review and follow-up.
- Generate and maintain daily, weekly, and monthly reports related to workforce utilization, work orders, labor hours, productivity, and operational performance.
- Assist with internal audits by maintaining accurate records and supporting documentation.
- Respond to inquiries from employees and managers regarding work orders, schedules, timesheets, and bank-hour balances.
- Recommend process improvements to enhance operational efficiency, reporting accuracy, and data integrity.
- Perform general administrative duties, including data entry, document management, filing, and record retention.
- Contribute to team objectives and undertake additional duties as assigned.
- Perform other related duties as assigned.
Qualifications & Skills
- Diploma or degree in Business Administration, Operations Management, Data Analytics, or a related field, or an equivalent combination of education and experience.
- 3 – 5 years of experience in scheduling, workforce coordination, operations administration, or data analysis.
- Strong analytical and problem-solving skills with the ability to identify trends, anomalies, and discrepancies within large datasets.
- High attention to detail and accuracy.
- Proficiency in Microsoft Excel and other reporting tools.
- Experience working with ERP, work order management, scheduling, or workforce management systems is an asset.
- Ability to handle confidential information with professionalism and discretion.
- Strong communication and organizational skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
