Description
Fast-growing AI search startup, backed by top-tier VCs and having just closed a large Series C, is looking for two Executive Assistants, one to support the CEO and one to support the co-founder. Both are first-time founders and are now scaling fast, building search technology used across the AI industry. In these roles, you'll own calendar management, full inbox trust (triaging, flagging, and responding on the executive's behalf), travel coordination, and expense processing, while also coordinating closely with the broader team cross-functionally. Someone who is fast, responsive, and self-aware and who's comfortable operating with a high degree of trust and autonomy. This is an in-office role, 5 days/week, based in San Francisco. 120-150K DOE + equity, full benefits, wellness stipend, and daily catered meals.
Responsibilities:
- Manage complex calendars, proactively resolving conflicts and protecting time for what matters most.
- Own inbox management with full trust to triage, flag, draft, and respond on the executive's behalf.
- Coordinate all travel logistics, including flights, hotels, and itineraries.
- Process expenses accurately and on time.
- Partner closely with the broader team, especially sales, to track follow-ups and keep meetings on schedule.
- Anticipate needs before being asked, bringing structure and organization to a fast-moving environment.
- Maintain complete discretion with sensitive and confidential information.
- 3+ years of experience supporting a founder, CEO, or senior executive, ideally at a high-growth startup.
- Exceptional organizational skills and obsessive attention to detail.
- Proactive and solutions-oriented, with the instinct to anticipate needs rather than wait for direction.
- Strong self-awareness, knowing when to take initiative and when to stay heads-down.
- Excellent written and verbal communication skills.
- Comfortable operating with a high degree of trust and autonomy.
- Thrives in a fast-paced, high-growth environment where priorities shift quickly.
- Proficient with standard workplace tools (Google Suite, Slack, Notion, or similar).
