Summary
Under the general supervision of the Program Director and the Office Manager, the Senior Project Assistant will be responsible for all aspects of office operations for the Center for Training, Research, and Educational Excellence (CTREE).
Qualifications
Education & Experience
- High School Diploma or equivalent required; some college courses or bachelor’s degree preferred
- At least two (2) years administrative experience relative to duties required
- Ability to work with detailed information, thorough knowledge of English grammar, spelling and punctuation; thorough knowledge of office methods, procedures, and practices
- Requires basic knowledge of Word, Excel, Outlook and the ability to learn other software programs specific to department
- Ability to work well with others
- Excellent oral and written communication skills

Essential Duties and Responsibilities
- Perform receptionist duties, including answering the telephone and receiving visitors.
- Prepare and assist with budgetary forms, including but not limited to direct pays, petty cash and requisitions.
- Prepare and assist with all aspects of travel. Tasks include conference registration, booking flights and hotel rooms. Prepare itineraries, travel requests and claims.
- Prepare and assist with human resources forms. This includes EAF's, timesheets, independent contractor forms and invoices.
- Manage events, ordering food and reserving rooms.
- Manage the LSAMP program book loan program.
- Research, complete and input all data for the LSAMP WebAMP report.
- Set student meetings with staff and Program Directors.
- Manage CTREE social media, Instagram, Facebook and Twitter. Ensure that all CTREE events are on all platforms. Research and post other events that are beneficial to the CTREE community.
- Prepare CTREE newsletter.
- Print posters for student research presentations.
- Maintain the LSAMP applications.
- Assist with complex data tables for grant proposals and annual reports.
- Update student databases.
- Restructure SharePoint documents.
- Work with CTREE affiliates and grant faculty, in the management of their projects’ paperwork.
Supervision:
No supervisory duties.
Latitude and Judgment:
Typographical errors on correspondence could result in diminished perception of project and/or embarrassment for Project Director and the CTREE. Errors on budgetary documents could cause difficult issues for the office and Corporation.

- The work environment will include normal office conditions and daily use of a computer Visual Display Terminal (VDT)
