Title coordinators/underwriting assistants manage the administrative and operational steps of the real estate title process. Reviewing commitments, helping clear title defects and/or requirements and tracking workflow pipelines. This position will work closely with other members of the underwriting team and management to oversee and coordinate transactions involving assets in one or more states. Responsible for communication with buyers, sellers, lenders, underwriters and escrow teams to ensure smooth real estate closings.
Responsibilities
- Perform required support functions for title underwriters and leadership
- Maintain and amend orders, calendars, reports, commitments and proformas as requested
- Review purchased commitments from external underwriters for accuracy and update clearance tracker accordingly
- Order tax and title continuations for closing
- Prepare proformas as instructed by underwriters
- Work directly with underwriting, production and customers to ensure the accuracy and completeness of all files
- Prepare and maintain tracking charts for commitments, proformas, policies, etc.
- Review commitment requirements and exceptions to prepare and maintain status of matters and update tracking charts
- Monitor and oversee satisfaction and completion of requirements and clearance matters
- Prepare affidavits and other deal forms as requested or directed by senior team members
- Open orders in software systems and ensure all required fields are completed
- Create invoices for licensed state transactions and workshare invoices for national deals
- Maintain pipelines of deals
- Review escrow instructions and closing checklists
- Coordinate earnest money deposits, escrowed funds, with escrow offices and transaction parties
- Support post-closing activities including recording and final policy issuance
- Upload documents to document repository and software system
- Timely and friendly response to customer emails
- Communicate and coordinate with outside parties such as underwriters, external underwriters, counsel, clients on transaction related matters
- Assist with and oversee the collection, organization and assembly of closing documents and coordination of closings and closers as necessary
- Willingness to memorialize work flows and train future colleagues
Requirements
- National commercial transaction experience
- 5+ years in title industry in title and/or escrow
- Proficient in Softpro, Excel, Adobe and Word
- Comfortable in a fast-paced environment
- High level of organizational skills
- Highly effective verbal and written communication skills
- Ability to multi-task and be proactive
- Open minded to process changes, continuous system updates and enhancements
- Positive attitude and a team player
It is expected that the base annual salary range for this Chicago, Dallas or remote-based non-exempt position will be $115,000 to 140,000. Actual salaries may vary based on factors, such as skill, experience, and qualification for the role. Employees may be eligible for a discretionary bonus, based on factors such as individual and team performance.
