SUMMARY
The Content Post Production Specialist is responsible for managing task workflows and project tracking across multiple platforms to ensure smooth coordination of creative projects and deliverables. This role serves as the organizational backbone of the creative team, maintaining accurate records, tracking deadlines, and ensuring all stakeholders have clear visibility into project status and priorities. The ideal candidate is highly organized, detail-oriented, and brings a thoughtful, proactive approach to workflow management.
PRIMARY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
- Manage and maintain task trackers across 2 platforms: Smartsheets and letsflo platform.
- Manage and organize digital assets in Brandfolder including uploading, downloading, and auditing META data of assets
- Track project timelines, deadlines, and deliverable status across multiple concurrent projects.
- Ensure all tasks are accurately logged, categorized, prioritized, and updated in real-time.
- Serve as the primary point of contact for project status inquiries and reporting to creative team and leadership.
- Proactively identify bottlenecks, delays, workflow risks, and escalate to relevant team leads immediately.
- Coordinate with creative team members, designers, retouchers, and external partners on task assignments and project handoffs.
- Prepare regular status reports, dashboards, and performance metrics for leadership and stakeholders.
- Maintain organized documentation, filing systems, project archives, and centralized project records.
- Respond to ad-hoc requests and adjust workflows to accommodate project changes, urgent priorities, or client needs.
- Suggest and implement process improvements to streamline workflow efficiency and enhance team communication.
- Support creative team logistics including meetings, design reviews, client presentations, and deliverable coordination.
- Monitor platform functionality and troubleshoot technical issues; escalate to IT support when needed.
QUALIFICATIONS & EXPERIENCE
- 1-2 years of experience in project coordination, task management, creative operations, or similar administrative/operational role.
- Demonstrated experience managing workflows across multiple platforms or tools simultaneously.
- Experience working in a creative, design, or content production environment is strongly preferred.
- Proven ability to organize complex, multi-project environments with competing deadlines.
- Experience coordinating cross-functional teams or with vendor/external partner management.
EDUCATION & SKILLS
- Bachelor's degree preferred.
- Proficient in English.
- Exceptional organizational and time management skills.
- Detail-oriented with strong attention to accuracy.
- Ability to manage multiple concurrent tasks and priorities without losing focus.
