ChristianaCare's Vascular Surgery practice is seeking a professional, compassionate, dependable, detail-oriented Full-Time Surgical Scheduler II at the Christiana Hospital in Newark.
Vascular Surgery is growing at ChristianaCare. A critically important service within the hospital, Vascular Surgery is medical specialty focused on diagnosing and treating diseases of the body’s vascular system- the arteries and veins- excluding the heart and brain.

The Surgical Scheduler's primary responsibilities will be to schedule pre-operative, post-operative and invasive procedures for patients undergoing structural heart and aortic health procedures at Christiana Care. This resource will work in collaboration with the structural heart team coordinators, cardiac surgery and vascular surgery areas to optimize the patient experience, assuring the availability and proper utilization of resources and approvals including time, equipment, and personnel. They will also optimize patient flow from referral to procedure to include coordination of pre-operative testing and procedures and partnering with referring offices to ensure accurate and complete medical history and records are obtained prior to patient evaluation.

Monday- Friday: 8am- 4:30pm

Key Responsibilities:
Coordinates the scheduling of all structural heart consults, procedures, pre-operative and post-operative tests and appointments.
Works with cardiac surgery and vascular surgery to coordinate and schedule post-procedure follow-up appointments and imaging for post aortic procedure patients.
Schedules cases in Surginet including case name, appropriate ICD10 code, resources, equipment, time and expected length of case.
Coordinates resources and staffing with other departments/vendors as needed for routine and special cases.
Arranges all pertinent preoperative testing in the correct timeframe prior to procedure based on heart team plan of care.
Schedules any urgent and add-on cases and adjusts as needed to accommodate the changes, communicating with patients, families and all departments involved regarding changes.
Responsible for communicating testing and procedural dates and pertinent information to patients and to referring providers and notifying them of any changes as soon as possible.
Acts as a liaison with the heart team for scheduling of patients for evaluation and consultation with providers, arranging pre-op testing, procedural scheduling, administering quality of life questionnaires, and scheduling post-op visits.
Provide non-clinical preoperative instructions and directions to patients in preparation for testing and procedures.
Maintain patient database to ensure completion of all necessary preoperative clearances and testing.
Ensures Medical Records are available and ready for consults in the structural heart clinic (SHD).
Supports SHD clinic hours and works in collaboration with coordinators and clinic staff to support optimal patient evaluation and flow.
Ensures patient records are up to date with all pertinent test results in preparation for next review and/or visit.
Participates in clinic initiatives for performance improvement.
Handles patient call backs relaying information per the direction of the coordinators/providers.
Performs other related duties as required
Interact with physicians, physician’s offices, various Christiana Care departments, patients and patient’s family on a daily basis.
Back up phones, front desk, and supervisor when needed.

Qualifications:
High school graduate.
Minimum of 2 years related medical office experience with knowledge of surgical scheduling for multiple providers.

Hourly Pay Range: $21.03 - $31.54This pay rate/range represents ChristianaCare’s good faith and reasonable estimate of compensation at the time of posting.
